The Executive Assistant provides high-level and broad C Suite level support. This position reports to an Executive-Level Officer in the organization.

Essential Duties & Responsibilities:

Corporate:

  • Coordinate daily calendars: Plan appointments and events.
  • Act as the point of contact between clients, executives, and employees.
  • Create regular reports and update internal databases including Password management through Last Pass.
  • Make travel arrangements.
  • Manage phone calls, emails, and regular mail.
  • Respond promptly to executive queries.
  • Facilitate internal communication (e.g. distribute information and schedule presentations)
  • Perform other duties and responsibilities as assigned.

Personal:

  • Coordinate travel arrangements for executives and families with corporate travel agents, personal agents, and pilots.
  • Set up personal appointments for executive and family
  • Set up personal accounts, pay all bills and charities.
  • Manage live events and other ticket management. Tracking, paying transferring etc.
  • Support executive and family with clerical and personal duties as needed.

Requirements:

  • A High School Diploma is required, but a Bachelor's degree is preferred
  • Five (5) years of experience supporting executive management, preferably in a C Suite environment
  • Ability and availability to work extended hours including nights, and weekends as needed by the Executive. Proven work experience as a Senior Executive Assistant
  • Strong communication skills (via phone, email, chat, text, and in-person)
  • Experience exercising discretion and confidentiality with sensitive company and personal information
  • Attention to detail in composing, typing, proofing materials, establishing priorities, flagging items for attention and meeting deadlines
  • Professional appearance and demeanor
  • Solid experience with office management systems, ERPs and MS Office, private air travel management, Last Pass, BILL, Ticketing software and Apple iPhones and iPads
  • Solid experience with online calendars and cloud systems
  • Excellent organizational and problem-solving skills with an ability to think proactively and prioritize work
  • Notary preferred
  • Minimal travel as needed
