The Office Coordinator for Leica Biosystems is responsible for providing full-time reception coverage and provides high level of administrative support to the Leadership Team of the Americas Selling Unit to ensure operational success. This role will also be responsible for greeting outside visitors and assist them with badge sign-in and coordinating their contact with the person they are visiting; collects and prepares information for use in discussions/meetings of senior staff; performs general administrative duties for the senior staff.

This position is part of the Commercial Organization located in Deer Park, IL. At Leica Biosystems, our vision is to advance cancer diagnostics and improve lives.

You will be a part of the Commercial Organization and report to the Manager, Administrative Services responsible for managing and providing administrative support to the Americas Commercial Leadership Team. In this role, you will have the opportunity to:

  • Coordinates complex scheduling and extensive calendar management. Acts as the point of contact between the executive and internal or external colleagues. Finds ways to improve processes and follow the standard work process
  • Process expenditures and invoices through internal system for approval. Works on special administrative projects as needed for Americas Selling Unit. Maintains professionalism and strict confidentiality with all materials, and exercises discretion.
  • Prepares reports, presentations, and data, as well as maintain files, records, and correspondence. Prepares information and research for Leadership needs. Provide backup support to booking VIP visits to the lab. Approving expense reports and train on expense reporting and taking all calls for Leica when help is needed. Set up of food in the cafeteria when food is catered and order office supplies.

The essential requirements of the job include:

  • High school diploma or equivalent. 3-5 years of experience supporting Leadership Teams- Ability to multitask and prioritize tasks; Excellent time management skills; Attention to detail; Professional discretion; Excellent communication skills both verbal and written; Ability to accomplish projects with little supervision- Excellent organization skills and experience with project management. Must be proficient in using the latest versions of Microsoft Word, Excel, PowerPoint. Must have a strong sense of teamwork, prioritization, and self-motivation

It would be a plus if you also possess previous experience in:

  • College degree is preferred

Travel requirements: 10% travel required.
