Job PurposeThe Workforce Assignment Specialist is responsible for managing the Organization Workforce Assignment Process ensuring accurate and timely execution. Responsibilities span the entire lifecycle of workforce assignments. These responsibilities include creating and maintaining the workforce assignment database; receiving, processing, and tracking workforce assignments; reporting on the status and outcomes of assignment workflow and sustain good communication with leadership teams, while preserving the confidentiality of all assignments and information.
The Workforce Assignment Specialist facilitates the process to align associates with suitable assignments, particularly for those that require specific skills, qualifications, or experience to meet the critical needs of the organization; and manages the succession planning process at the end of assignments to ensure seamless transitions for the associates and the organization. Management and associates rely on the expertise of the Workforce Assignment Specialist for guidance on assignment-related matters.
Developing and maintaining policies related to the workforce assignment process to ensure consistency and compliance across the organization is a critical component of this role. Additionally, this role is responsible for creating and proposing standard rates and driving standardization of accounting, manpower and bill back practices across HDMA driven by analytics of past assignments.
Key AccountabilitiesWorkforce Assignment Management:
- Create and maintain the workforce assignment data base ensuring the accuracy of entries through independent verification.
- Determine the priority updates based on critical impact to the organization.
- Establish methods to maintain data integrity.
- Engage stakeholders across AHM and HDMA to ensure effective implementation of workforce assignments.
- Drive collaborative problem solving for disagreements or conflicts among stakeholders and set appropriate strategies to achieve resolution.
- Implement accounting and resource management standards within the assignment management process. Drive continuous improvement in the process policies and procedures based on best practices, feedback, and lessons learned.
Department Reporting:
- Manage overall reporting of workforce assignments to the Department.
- Develop reporting format that includes the progress and results of workforce assignments, utilizing various established key metrics and indicator.
- Ensure follow up items are documented and completed on time.
Honda Motor Billback:
- Manage the billback process for Honda Motor Pack and HDMA North American assignments.
- Understand the billing processes, financial transactions, and cost allocation.
- Communicate and collaborate with stakeholders to collect accurate data.
- Independently investigate discrepancies in data; and determine countermeasures to resolve and prevent recurrence of identified problems.
Corporate Event Coordination:
Schedule and coordinate corporate events, meetings, and supporting activities.
Develop and maintain the corporate calendar.
Assess event/meeting prioritization based on urgency, importance, and strategic goals.
Identify and communicate conflicts arising from overlapping schedules or differing priorities.
Develop countermeasures to resolve these and communicate changes to impacted parties.
Department Administration:
Order supplies and materials, issue purchase orders, manage ITSM requests for supplies, systems and room access as requested.
Qualifications, Experience, and SkillsEducation Required:
- Bachelor's degree in human resources, business administration, or a related field. Or related experience.
Experience Required
- 0-5 years of experience in workforce planning, human resources, or project management, preferably in the automotive industry.
Skills Desired
- Proficient in data base management.
- Proficient in reporting software (ex: excel, bi tools).
- Understand project timelines and milestones.
- Familiarity with accounting principles and invoice reconciliation.
- Ability to appropriately prioritize tasks
- Ability to work independently with limited direction
- Effective verbal, presentation, and written communication skills
- Demonstrated collaborative approach/teamwork.
