Job Description
The University of Nevada, Reno is seeking an organized, detail oriented, and professional Executive Assistant to the Dean of the College of Liberal Arts. This position combines project management with high -level administrative and relationship support functions to assist the Dean. The Executive Assistant will serve as the office manager handling front desk duties and will be a liaison between the College of Liberal Arts and various offices, departments committees, faculty, staff, and community agencies.
Key responsibilities include managing a complex calendar, coordinating meetings, compiling confidential documents, and taking minutes for various meetings and events. The Executive Assistant will also oversee office management, maintain common area organization, assist Associate Deans with data collection, and handle office supply orders and distribution. Additional duties include managing travel arrangements and expense reports, processing hosting documents, and coordinating college-wide activities such as major events, faculty elections, scholarship and award committees, faculty evaluations, merit rankings, 3rd-year reviews, and promotion and tenure reviews.
This role also involves serving as a technical administrator and backup search coordinator, assisting with employee orientation and training, conducting surveys, and supporting special projects. A high level of confidentiality and professionalism is essential. The ideal candidate will uphold the College of Liberal Arts' values of diversity and inclusion, excellence, respect, professionalism, humanity, safety, service, and stewardship.
Required Qualifications
- Graduation from high school or equivalent education and five (5) years of progressively responsible administrative support experience which included overseeing administrative office activities, maintaining complex records, and coordinating administrative communication including written and oral information to various managers and work groups; OR
- One (1) year of experience as an Administrative Assistant IV in Nevada State service which included administrative support duties as described above; OR
- An equivalent combination of education and experience as described above.
The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm; this is subject to change based on organizational needs.
Compensation Grade
Grade 31 (Entry, Step 01 $26.07/hr - Step 03 $28.38/hr)
In classified service, salary is in Grade and Step. The Step is determined based on the Nevada Administrative Code. Salary placement above a Step 01 at initial appointment is determined based on the recruitment, the candidate's qualifications, internal equity and budgets. A request to accelerate salary must be approved by Human Resources and abide by the Nevada Administrative Code.
