Summary

The incumbent serves as the Program Support Assistant to the Chief of Neurology Service, the Neurology Service Business Manager and Nurse Manager, providing administrative and clerical support within the Neurology Service, including its sub-specialties of General Neurology, Degenerative Disease, Neuromuscular Disease, Epilepsy, Stroke, Multiple Sclerosis, Sleep Disorders and Chronic Pain.



Duties

Major duties may include:

  • Serves as the liaison between the Neurology Service and other clinical and administrative services in the VAMHCS, such as Fiscal, Human Resource Management and the Office of Education and Academic Affairs. The incumbent is responsible for administratively facilitating the clinical tour of residents and medical students. This involves, but is not limited to, creating monthly timesheets and tracking the use of annual and sick leave; providing direction and instructions on VHA policies and procedures; and connecting residents, interns, and medical students with such entities as Clinical Informatics and IRM for computer access, etc.
  • Serves as a Timekeeper and may serve as a Purchase Cardholder or Purchasing Agent, and, as such, is subject to all inherent policies and regulations associated with these assigned duties.
  • Obtains and monitors the use of services, supplies, or equipment for the office. Answers questions concerning policies and procedures related to support/office services and new projects, requests, and shifts in priorities and commitments.
  • Performs all work involving the collection, and/or tracking, of data and statistical information in support of program's operations. Prepares, executes, and/or tracks program-specific information, such as clinic and provider workload reports, FOIA requests, congressional inquiries, grants, cooperative agreements, and/or IAGS/contracts. Incumbent uses software applications to draw information, e.g., from the VISTA and CPRS systems. Knowledgeable of software applications such as Word, Excel and PowerPoint for preparation of reports and other data. Incumbent will inform the Business Manager and Chief, Neurology Service, of any notable trends (e.g. repeat offenders, problem noted within one sub-specialty, etc.).
  • Contacts members of the staff, agency, and persons outside the agency, ranging from other government agencies to the general public. Acts as liaison for Neurology Service management to other staff within the organization and provides accurate advice on policies, procedures, directives, and instructions. Incumbent is responsible for reminding patients of their clinic appointments by phone, handing off responsibility to cancel or reschedule appointments to the appropriate scheduling staff. Incumbent screens calls and visitors to the

    Service, forwarding those requiring personal attention while handling as many as possible.
  • Knowledge sufficient to recognize which information is or is not relevant to the problem at hand. The incumbent has expert knowledge of the work of the office as well as the work of other offices sufficient to recognize the need for coordination in various circumstances.
  • Has a working knowledge of medical, surgical, and general health-related terminology to facilitate communication with staff and patients and to document meeting notes and minutes. Expert knowledge and skills in typing/word processing, database creation and management

    in order to create tracking tools for various performance, measurements, typing physician dictation notes, letters to patients, and meeting minutes.
Work Schedule: Monday-Friday 8am-4:30pm
