Position Description

The Seattle Fire Department is seeking a temporary, full-time Administrative Specialist I to join our team supporting several of the Department's administrative divisions.

This position reports to the Department's Personnel Manager and will provide Seattle Fire Department front desk support as well as perform clerical tasks for the Human Resources division.

To support the Seattle Fire Department Headquarters' front desk, this position will work in office Monday through Friday, 8:00 AM – 4:30 PM.

This position is benefitted and expected to last through June of 2025.
Job Responsibilities

Reception – answer the Seattle Fire Department business phone line and greet visitors to the Seattle Fire Department Headquarters building.

Community events – assist in scheduling Fire Department resources for preschool, school, and community events in the City of Seattle.

Filing – electronic and paper filing.
Data entry – pull reports and input data into HRIS databases.

Mail sorting – assist in distributing electronic, U.S., City, and department mail that is delivered to the Seattle Fire Department Headquarters.

Ordering supplies – order supplies as directed, ensuring proper paperwork is forwarded and maintained.
Perform other special projects and duties as assigned by the Personnel Manager.

Qualifications

Requires one year of office clerical support experience (or a combination of education, training, and/or experience which provides evidence of the ability to perform work of the class).

A successful candidate will also possess the following experience and skills:

Reception or multi-line phone experience.
Commitment to providing equitable service in a diverse environment.
Strong written and oral communication skills with the ability to deal tactfully and clearly with both staff and customers.
Ability to multitask and perform assigned work with frequent interruptions.
Proficiency in Microsoft Word, Excel, and Outlook.
Familiarity with Microsoft SharePoint, Access, and Adobe desired.
Strong attention to detail and accuracy.
Alpha-numeric filing experience.

Must be able to retrieve files from floor level and from above shoulder height; must be able to lift boxes of paper, files, and other supplies weighing up to 30 lbs.

Experience handling confidential documents and information.

Additional Information

The full salary range for this position is $ $34.63 per hour.
