Typical Duties/Job Duties Works with Purchasing Office to review purchase orders and Accounts Payable Office to review invoices to identify the purchase of capital equipment, real estate, buildings, livestock, and reference materials, museum and art items, and other accountable items. Affixes inventory tags to purchased items and maintains database of purchases of property/assets. Coordinates the delivery and/or removal of used large property. Oversees all surplus equipment by storing, redistributing, or auctioning collected equipment in accordance with state guidelines. Supervises surplus property sale; prepares requests for bids and secures auctioneer and other sale support staff. Transfers equipment to other departments in database and notifies Controller's Office of disposal of equipment; deletes equipment from property database, in accordance with policies and procedures. Controls and is the Manager of items in the warehouse. Disposes of unusable tagged/untagged items no longer needed by the university in accordance with university regulations. Disposes of e-waste brought to the warehouse in accordance with state regulations. Collects and disposes of the Lost & Found from University Police on a monthly basis. Coordinates and supervises the annual inventory of University property; communicates with department personnel and provides guidance on proper reporting procedures of property. Records findings of the inventory in the property database. Audits property and inventory records, as appropriate. Reconciles land and building holdings with the General Land Office on a yearly basis. Prepares correspondence and memos to university personnel, state office representatives, and others. Completes inventory control and related forms; maintains property management database in an accurate and timely manner. Adheres to records maintenance, confidentiality, and related practices and policies. Attends training, seminars, and other meetings as needed. Other duties as assigned.Knowledge, Skills and Abilities
- Ability to perform work requiring accuracy and attention to detail.
- Skilled in oral and written communication; skilled in interpersonal relations.
- Ability to work independently and prioritize workload.
- Ability to operate a variety of office equipment & warehouse equipment.
- Knowledge of Microsoft Office and ability to learn new software as needed.
- Ability to organize and complete tasks in an accurate and timely manner.
- Ability to coordinate multiple tasks with frequent interruptions or changing priorities.
- Ability to lift 100 lbs. and carry 50 lbs.; Ability to stand, bend, & stoop multiple hours of the day.
Bachelor's degree in business, management, or other related field required. Two years of property management, inventory control or asset management desired. Prefer experience with State of Texas property/asset management guidelines.
