Job Overview:

The position will work as a member of the Business Development Team with minimal supervision. This role will support conference-related activities for assigned conferences following SOPs. These activities include, but are not limited to, processing prospectuses, contracts, and invoices, cross-team collaboration, tracking project progress, and maintaining up-to-date project records. This role is ideally suited for someone with prior conference/trade show booking or relatable experience.


Duties & Responsibilities:

  • Maintains conference organizer relationships
  • Project manager for all assigned conferences
  • Maintains all conference work within internal project management system, Hive
  • Requests and processes conference prospectuses
  • Submits booking applications and/or requests contracts
  • Processes conference contracts for internal signature
  • Submits signed contracts and requested company information to conference organizers
  • Creates and maintains conference deliverables information sheets and shares with appropriate internal and external teams
  • Collaborates with the marketing team to ensure all submitted company information is in line with current company branding standards and that all contracted sponsorship, speaking, and marketing needs, such as presentations, advertisements, PPT slides, etc., are met, including communicating content deadlines through Hive
  • Creates and maintains conference information sheets and shares with appropriate internal and external teams
  • Processes conference exhibitor manuals in tandem with Booth Logistics colleague
  • Registers conference attendees
  • Books lead retrieval systems for and communicates information to conference attendees
  • Creates, sends, and processes post-show surveys
  • Processes conference-related invoices
  • Creates and maintains conference financial plan sheets
  • Uploads conference-related receipts and memos to expense tracking system
  • Updates expense sheet with invoice and payment information
  • Supports Booth Logistics colleague during high volume shipping times
  • Provides continuous improvement and enhancement to processes and workflows
  • Works independently as well as with direction from supervisor
  • Performs other duties as required or assigned


Experience Requirements - Knowledge, Skills, & Abilities (KSAs):

  • Bachelor’s Degree required with a minimum of 2-3 years of directly relatable experience in either conference/trade show booking, event management, or other applicable fields with transferable experience
  • High attention to detail
  • Strong organizational skills with a demonstrated ability to keep multiple projects on track simultaneously
  • Microsoft Office proficiency
  • Ability to thrive in a fast-paced entrepreneurial environment
  • Strong verbal and written communication skills
  • Team player with an enthusiastic and collaborative approach
  • Minimal travel as needed to support group operations
  • Exhibitor portal knowledge a plus
