RESPONSIBILITIES: Guided by department and firm objectives and priorities, supports all learning functions of the Attorney Learning & Development Group, including providing project and program support and administration, preparing various documents and correspondence, and scheduling. Additionally, provides assistance to the CLE function. Serves as backup in coordination of firmwide, regional, and office training and development programs.
ESSENTIAL FUNCTIONS
Attorney Learning Administration and Infrastructure
- Attorney Learning Project Support: Prepare reports, memoranda, other documents, and correspondence required by Attorney Learning & Development, Firm leadership, and other internal and external clients; schedule meetings, teleconferences, appointments, and programs.
Attorney Learning Program Administration
Attorney Learning Programs and Workshops:
Serve as backup in coordination of firmwide, regional, and office training and development programs.
i. Serve as lead contact for attorney presenters, practice group administrative contacts, and technology services representatives as necessary.
ii. Prepare and distribute announcements and invitations to attorneys and local office training contacts.
iii. Keep the online training calendar current.
iv. Arrange for video recording, conference rooms, and appropriate technology and equipment and oversee technology staff members in ensuring that objectives are met.
v.Coordinate process of gathering and assembling presenter materials.
Attend and coordinate training programs and workshops as needed and assist with attorney registration, distribution of schedules, evaluations, materials, CLE documents, etc.
Serve as resource for attorneys, in preparation for and at such events, including serving as a creative on-the-spot problem-solver as issues arise; serve as backup for team members as need arises.
Build and maintain event apps in Guidebook.
- Serve as contact for learning questions; escalate questions as necessary (e.g., information on upcoming in-house programs, CLE matters, outside education approval matters, information on accessing training resources online and through Research Services, etc.)
- Run and analyze Workday reports of attorneys/agents/analysts to generate training invitations and alerts.
- Assist the Attorney Learning & Development Group in carrying out various other firmwide, regional and office initiatives, assuming primary responsibility where appropriate.
- Serve as primary administrator for PLI membership roster, including troubleshooting sign-in issues.
- Research past training materials in both our storage and in AnswerBase.
- Schedule Attorney Learning & Development Group meetings.
- Make travel arrangements.
- Process and upload invoices and expense reports to Chrome River.
- Assist in creating PowerPoints for presenters and Attorney Learning & Development Group internal presentations.
QUALIFICATIONS
Education and Experience
- Bachelor’s degree and three or more years of related experience in an administrative role, preferably in a legal environment.
- Strong tech skills in MS Office products with high level of proficiency in Excel, Word, and PowerPoint, and calendaring/scheduling.
