Organized Play Specialist, Card Business

POSITION SUMMARY: A strong self-starter with exceptional organizational skills who supports and assists the OP and Events Manager for the Americas. In addition, this position entails coordinating logistics, reporting, and tournament support for all Card Business IP. Candidate should also have solid business acumen, cross-functional skills, ability to multi-task numerous projects, be a team player, and desire to work on all Card Business IP.
Responsibilities:
- Work with the OP team on scheduling, execution, and reporting of Regional Qualifiers and all other Tier 2 Events (OTS Championships, Dragon Duels, and Extravaganzas).
- Be the main point of contact for each Tournament Organizer (TO) who is hosting a Tier 2 or higher event.
- Ensure our website has the current FAQs and event listings for Tier 2 and higher events at least one month before the events start.
- Keep track of data that is acquired from Tier 2 and higher events, such as invites awarded, disqualifications issue, event paperwork, invoices, and judge information.
- Ensure all TOs have the necessary documents to run their events at least 1 month before event date.
- Ensure all TO’s purchase necessary product to run their events at least 21 days prior to the event date.
- Ensure all prizing for events are shipped out in time for each event, work with OP and Events Manager to set deadlines.
- Work with the Organized Play team on other initiatives to grow the Yu-Gi-Oh player base and increase attendance at Tier 2 and higher events.
- Be able to assist with onsite duties at Tier 3 and higher events (Yu-Gi-Oh Championship Series, National Championships, World Championship Qualifiers and the World Championship).
- Work with the Organized Play team to forecast promotional inventory needs, maintain accurate inventory, and ensure all prizing is ordered on time to hit deadlines set by OP and the Events Manager.
- Work with the Organized Play team to ensure all invoices are being processed at the latest 1 week after receipt.
- Work with OP Assistant to draft Purchase Orders on various projects while maintaining communication with OP and Events Manager to ensure that deadlines set are being met.
- Maintain and update procedural and operational documents for all OP programs.
- Coordinate with the Organized Play Team so North and Latin America regions have the most up-to-date version of these documents.
The successful candidate will possess:
- Strong leadership, decision-making, and analytical skills.
- Excellent interpersonal communication (verbal and written) and presentation skills.
- Ability to perform duties under minimal supervision while exercising discretion and independent judgment.
- Strong organizational skills and the ability to handle multiple projects with attention to detail.
- Resourceful problem-solving skills.
- Excellent strategic planning, budgeting, marketing, and forecasting abilities.
- Strong working knowledge of MS Word, MS Excel, and MS PowerPoint.
- Spanish and/or Portuguese language fluency a plus.
The ability to travel domestically and internationally.
Required Experience:
- Bachelor or higher in Marketing or Business, or equitable job experience.
- Minimum of 3 years experience in entertainment or consumer goods categories.
- Extensive tournament or consumer event experience required.
- MS Access, MS Project, Illustrator, or Photoshop skills a plus.
