Position Summary
NCPC seeking a dependable, organized, and professional Operations Coordinator to provide critical support to the CEO and oversee the day-to-day operations of the office. This position also includes key responsibilities related to membership management, event coordination, and general office management. The ideal candidate will have experience working in non-profit organizations and be able to juggle multiple tasks efficiently.
This is a highly impactful, fully onsite position in Raleigh, NC where you will be part of a close-knit team of passionate professionals.
Key Responsibilities
Executive Support:
- Assist executive leadership with daily tasks such as calendar management, meeting preparation, travel arrangements, and email correspondence.
- Prepare, proofread, and edit documents, reports, and presentations for both internal and external stakeholders.
- Handle confidential information with discretion, maintaining professionalism at all times.
Office Management:
- Oversee daily office operations, ensuring a clean, organized, and fully stocked office environment.
- Screen phone calls and mail, providing general office support including packing and shipping requests.
- Manage vendor relationships, order supplies, and handle office equipment maintenance.
Membership Coordination:
- Manage and maintain member databases, processing new member applications, renewals, and record keeping.
- Respond to member inquiries, providing excellent customer service and building strong relationships.
- Support membership campaigns through outreach and follow-up.
Event Management:
- Plan, coordinate, and execute events such as workshops, seminars, conferences, and community gatherings.
- Handle event logistics, including venue booking, catering, AV setup, and material preparation.
- Oversee post-event follow-up, including surveys, thank-you notes, and tracking member engagement.
Additional Duties:
- Assist with financial tasks such as invoicing, expense tracking, and event budget reconciliation.
- Support social media and marketing efforts with occasional updates on events and member highlights.
- Contribute to a positive work environment by supporting team members and taking initiative on special projects.
Qualifications
We're seeking a highly skilled professional who thrives in a small, collaborative environment. The ideal candidate will have:
- A Bachelor's degree or equivalent work experience, preferred.
- Minimum of 3 years of administrative experience, ideally within a non-profit organization.
- Proficiency in Microsoft Office Suite and ability to work with various software tools and systems.
- Strong written and verbal communication skills.
- Excellent organization and time management skills.
- Strong interpersonal and relationship-building abilities.
