The Administrative Associate position provides a full range of administrative and clerical support to the Community Impact Team. The position will support donors, staff, volunteers, and board members by facilitating communication and services to ensure efficient and effective work relationships, while taking the time to listen and learn from others. Primarily working within the Community Impact Team and serving as a back-up for other core administrative tasks within the Foundation, the Administrative Associate plays a vital role in helping ensure our commitment to show up for the community and our team.
Duties and Responsibilities:
Community Impact Team:
This role will perform a wide variety of varied, complex, and advanced administrative and clerical functions including, but not limited to:
- Correspondence, mailings, and electronic filing
- Application entry and management across multiple grant and scholarship programs
- ·Grant and payment entry and processing
- Donor and nonprofit relationship cultivation
- Scheduling and meeting coordination
- Research and project-based assignments
- Data entry and reporting from multiple databases
General Office Support:
- Provide scheduled and as-needed support for reception duties (e.g. covering the front desk, answering phone calls, and greeting visitors in a friendly and professional manner)
- Assist in the preparation of meeting spaces, event preparation and implementation, as needed.
Foundation Responsibilities:
- Promote The Community Foundation of Middle Tennessee’s mission and strategies.
- Act as contact for support and communications related to the Community Impact Team and other departments.
Minimum Requirements:
- High School Diploma or GED (or equivalent experience required), Associate’s Degree or some college experience (preferred), or extensive prior work experience in an administrative role.
- Skilled in Microsoft 365 or Office and web-based applications
- Ability to learn new software applications.
- Strong interpersonal skills and the ability to build rapport in person, over the phone and by email.
- Excellent attention to detail and accuracy.
- Ability to manage projects and prioritize different types of tasks.
- Strong oral and written communication skills and the ability to communicate effectively, and in a professional, tactful manner with donors, nonprofits, volunteers, board/trustees, fellow employees, and leadership.
- Proven ability to handle multiple projects and meet deadlines, manage priorities and workflow.
- Ability to work independently and collaboratively in an open office environment.
- Comfortable in a work setting that is open to the community and hosts frequent gatherings.

Additional Information
Job Type: Full Time
Hours: Generally, 8:30am – 4:30pm (including a 30-minute meal break) M-F in-office. Schedule will be occasionally adjusted in advance to accommodate times of high volume, visiting groups, or events.
Compensation: Hourly $22-$24/hour, based on experience and expertise (overtime opportunities will be available)
