THE GIST:

Our client, an established Bay Area law firm, is seeking a stellar Legal Administrative Assistant to support two of their attorneys based in their Menlo Park office. This role will be responsible for providing daily administrative support, while also expertly streamlining the attorneys' day-to-day schedule. The ideal candidate has an administrative background in the legal field and/or professional services and loves being the administrative backbone of a team

THE NITTY GRITTY:

  • Manage schedule, calendars, and client meeting coordination for attorneys
  • Prepare & revise documents, compile client records, draft correspondences & legal materials
  • Process expense reports and submit invoices
  • Prepare for client meetings (produce meeting materials, set up conference rooms, greet clients, etc.)
  • Assist attorneys in drafting, proofreading, redacting, and editing various documents and contracts for correct spelling, grammar, punctuation, format and content
  • Arrange travel, book accommodations, and prepare itineraries
  • File documents with courts
  • Maintain electronic files and internal databases
  • Manage incoming and outgoing correspondences with the utmost discretion & urgency
  • Sort & organize mail
  • Assist with coordinating & executing firm events
  • Work collaboratively with other members of the administrative team
  • Assist with special projects and other administrative functions, as needed



THE ESSENTIALS:

  • 3+ years of experience as an Executive Assistant and/or Legal Assistant
  • Experience working in the legal field or professional services required
  • Strong legal knowledge and understanding laws and legal procedures
  • Proficiency in legal document preparation
  • Poised & professional demeanor
  • Team-player and happy to pitch in where they are needed
  • Experience interacting with clients and exhibiting 5-star customer service
  • High degree of accuracy and attention to detail
  • Stellar written & verbal communication skills

LOCATION: Menlo Park (Onsite)



COMPENSATION: Base salary: $90,000/yr - $100,000/yr + bonus + benefits (exact compensation will vary based on skills, experience, and expertise)
