Location: Sacramento, CA

Compensation: $52,000 to $62,400 DOE


We are looking for a highly organized and proactive Dispatcher to join our team in Sacramento, CA. The ideal candidate will be responsible for managing service requests, scheduling technicians, and ensuring efficient execution of service calls, maintenances, repairs, and projects. This role requires excellent communication skills, attention to detail, and the ability to work in a fast-paced environment.


Key Responsibilities:

  • Assist technicians with preventive maintenance scheduling, check in with technicians throughout the day, and manage the Dispatch Board.
  • Review weekly Field Time technician timecards and submit to payroll for processing.
  • Process service expense reports and submit to the service manager for approval.
  • Follow up with customers to confirm work performed was completed to their satisfaction.
  • Provide backup support to other dispatchers and assist with special projects assigned by the service coordinator or service manager.
  • Answer phone and email service requests, promptly communicate response dates and times with customers for emergency service repairs, preventive maintenance, and projects.
  • Obtain pertinent information for service requests, create new work orders, and schedule technicians accordingly.
  • Email new customers the new customer information sheet and submit the completed sheet to the Service Coordinator for proper setup in Viewpoint.
  • Handle construction or special project warranty calls by obtaining necessary information, confirming with project managers, and opening pass-through work orders.
  • Maintain a daily to-do list, ensure desk space and kitchenette are picked up daily, and roll the On-Call Phone every Tuesday per On Call Calendar.
  • Set and manage a three-day schedule for service technicians based on service requests, routine maintenance, and service projects. Update the Service Dispatch board accordingly.
  • Review and process technician Field Quotes, promptly email to customers for review/approval, and submit quotes greater than $5k to the service coordinator for approval.
  • Review open work orders & alerts for completion and accurate costs, and invoice daily as applicable.
  • Create purchase orders in Viewpoint for equipment, parts, and material orders, and manage POs for the Warehouse.


Required Skills and Experience:

  • High School diploma or GED.
  • 2-3 years of experience in similar service dispatch roles and/or related functions. Experience with Viewpoint Service Management software is a plus.
  • Proficient in Microsoft Office (Excel, Word, Outlook, and Project), Bluebeam, Adobe Acrobat, and Vista Viewpoint. Familiarity with various file sharing programs is a plus.
  • Ability to clearly communicate both written and verbally. Present information to and respond to questions from managers, clients, customers, and the public.
  • Ability to collaborate on operational or systematic improvements/implementation.
