Office Manager

Responsibilities:
- Works closely with the President and CEO, and the Executive Chairman to provide administrative support, manage schedules, and communicate with internal and external parties on organizational matters
- Maintain comprehensive and accurate records, including handling of sensitive information
- Manage calendars for President & CEO and Executive Chairman, including scheduling meetings calls and appointments
- Organize travel arrangements, including flights, accommodations and itineraries
- Oversee day-to day office operations to ensure smooth functioning
- Oversee incoming, outgoing mail, shipping and deliveries
- Maintain vendor and service provider relationships
- Maintain and manage office budgets; process invoices; manage expense reports for Executives
- Plan for space/infrastructure including moves, additions, and changes to computer equipment
- Ensure compliance with premises policies and procedures
- Manage and organize office events and meetings; office supplies and refreshments are available for internal/external meetings
- Assist in preparing for Board meetings, coordinate and distribute in a timely manner agendas, Board meeting packages, and meeting minutes, and ensure proper notification is given of Directors' meetings
- Assist with employee engagement, team activities and HR coordination
Qualifications:
- Bachelor's degree
- Excellent verbal and written communication skills
- Team player able to manage multiple work streams and commitments at the same time, producing high quality output within tight deadlines
- Excellent attention to detail. Strong problem-solving skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Adobe)
- Two years minimum experience working with senior management
