Executive Assistant to CEO

The One Club for Creativity, a leading global non-profit that champions creative excellence, is looking for an experienced Executive Assistant to support our CEO, who operates from Naples/Bonita Springs, FL. We're on the lookout for someone who loves creative problem-solving, thrives in a fast-paced environment, and is eager to support initiatives around DEI, education, and professional growth.
What You’ll Do:
- Be the bridge between the CEO and both internal teams and external partners, making sure communication is clear and effective.
- Take charge of scheduling, prioritizing, and ensuring the CEO’s time is managed efficiently.
- Arrange logistics for board meetings and executive sessions, ensuring everyone is prepared and connected.
- Master a busy travel schedule, coordinating flights, accommodations, and detailed itineraries worldwide.
- Tackle special projects, from research initiatives to helping organize key events, and bring your creativity to the mix.
- Keep the wheels turning with meticulous database management, task prioritization (using Asana), and CRM research (using HubSpot).
- Handle incoming communications with a professional, problem-solving approach.
Who You Are:
- Organized and Detail-Oriented: Your friends describe you as someone who "has it all together."
- Experienced: You have at least 5 years as an executive assistant, ideally in a professional or non-profit setting.
- Communicator Extraordinaire: Exceptional written and verbal communication skills are a must.
- Multitasker: Managing multiple priorities with grace is where you shine.
- Problem Solver: You can anticipate issues before they arise and solve them seamlessly.
- Tech Savvy: High proficiency with Google Docs and Microsoft Office as well as Zoom is required, while familiarity with Asana and HubSpot is a plus.
- Calm Under Pressure: You maintain a steady demeanor, even when juggling many tasks.
- Flexibility: While the position is based primarily in Florida, there may be occasional travel to the headquarters in New York for all-staff meetings or events
