Position Overview


We are seeking a highly organized and proactive Office/Facilities Manager to join our team at Cube Exchange. This role is pivotal in ensuring the smooth operation of our office environment and providing a positive first impression to our visitors and clients. The successful candidate will be responsible for managing office supplies, coordinating meetings and events, and handling front desk activities, including greeting visitors and managing phone calls. An interest in the fintech and cryptocurrency sectors will be beneficial in this fast-paced and dynamic industry.


Key Responsibilities


  • Oversee the daily operations of the office, including managing office supplies, equipment, and facilities to ensure a safe and efficient working environment.
  • Order snacks for the office weekly.
  • Manage cleaning service and ensure the office is clean and any repairs or maintenance that is needed are completed.
  • Serve as the first point of contact for the company, greeting visitors, answering and directing phone calls, and providing general support to clients.
  • Manage some after hours corporate events at our company location.
  • Coordinate internal and external meetings, including scheduling, sending reminders, preparing meeting rooms, and organizing catering when necessary.
  • Handle incoming and outgoing correspondence, including mail, email, and packages.
  • Assist with travel arrangements and accommodations for candidates and some employees.
  • Maintain office security by managing key fobs and visitor logs.
  • Support the HR department in organizing company events, onboarding new employees, and other administrative tasks as needed.
  • Manage office budget, keep records of office expenses, and report discrepancies or suggestions for cost-saving measures.
  • Stay up-to-date with the latest developments in office management technologies and procedures.


Required Skills and Qualifications


  • Proven experience as an Office Manager, Facilities Manager, or similar administrative role.
  • Strong organizational and planning skills in a fast-paced environment.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite and experience with office management software.
  • Knowledge of administrative and clerical procedures.
  • Ability to multitask and prioritize work effectively.
  • High attention to detail and problem-solving skills.
  • A positive attitude and professional demeanor.
  • Interest or experience in the fintech or cryptocurrency sector is a plus.
