Role Description
At Sandoval's Landscaping and Masonry, Inc., we’re hiring an office administrator to join our dynamic team. Your role will involve managing day-to-day office operations, coordinating and assisting with administrative tasks, bookkeeping and data management, and ensuring the office runs smoothly. We’re looking for someone with exceptional organizational and communication abilities, along with a dedication to fostering a positive and efficient work environment.

Responsibilities
- Provide support to staff and management, including handling correspondence, preparing documents, and scheduling meetings
- Manage communication channels, such as phone calls and emails
- Supervise office staff, including clerical and administrative personnel.
- Maintain filing systems and ensure the proper retention, protection, and disposal of records.
- Manage data entry and other record-keeping tasks.
- Oversee office supplies to ensure resources are available when needed.
- Establish and implement office policies and procedures to maintain order and efficiency.
- Review and update office policies as necessary to reflect changing needs.
- Assist with budget preparation and track expenditures.
- Process invoices and manage accounts payable and receivable.
- Ensure a safe and clean work environment.
- Provide regular office operations reports to management and identify areas for improvement.
- Support the recruitment, onboarding, and training of new employees.
- Ensuring that the office follows company policies and procedures, and coordinating the activities of the administrative team
- Answering phones, speaking with clients, and handling correspondence
- Keeping databases up to date and in check
- Greeting clients and visitors, processing incoming orders, and troubleshooting order issues
Qualifications and skills
- Administrative Assistance, Communication, and Customer Service skills
- Proficiency in operating office equipment
- Experience in office administration
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills
- Detail-oriented and proactive in problem-solving
- Previous experience in landscaping or construction industry is a plus
- Keeps track of deadlines and multiple tasks simultaneously
- Completes tasks on time and can properly prioritize work.
- Proficiency in using office software and database management.
- Strong attention to detail.
- Provides excellent customer service.
- Comfortable tracking office budgets, expenses, and supplies.
- Works effectively as part of a team and contributes to a collaborative office culture.
- Ability to plan, coordinate, and execute office projects or events.
Education and Requirements:
- High school diploma, GED, or equivalent
- Three to four years’ management experience in an office setting
- Specific industry (construction) experience preferred
- Proficient with Microsoft Office software and phone systems
- Spanish - Speaking/Writing
