Job Description Summary
The Customer Service Specialist is responsible for operating the front desk of a busy affordable residential apartment complex.
This job opportunity is located in the Clifton neighborhood of Staten Island.
Work hours for this position are Monday through Friday, 8:00 a.m. to 5:00 p.m. (includes one-hour unpaid lunch break).
Fluency in both English and Spanish is a requirement.
Affordable housing experience is a plus.
The compensation for the position is: $25.00 per hour.
Job Description
ESSENTIAL JOB DUTIES:
- Run all front desk operations including greeting residents and visitors to the management office, respond to visitor inquiries, answer the phone and direct calls to appropriate staff and take messages for staff.
- Provide applicable forms to office visitors.
- Collect documents from office visitors.
- Provide rent receipts and process rent and other payments for posting and deposit.
- Review and interpret resident ledgers and subjournals.
- Utilize third-party vendor software to ascertain, review and enter resident information.
- Produce rent breakdown letters for residents.
- Create maintenance work orders for apartment repairs.
- Prepare mail for delivery and distribution.
- Provide excellent customer service and effectively communicate information to residents and management staff.
- Participate in all internal and external training programs.
- Perform other tasks as required when directed by Company management.
COMPETENCIES:
- Effective communication and customer service skills.
- Effective listening and active listening skills.
- Ability to maintain a cool and calm demeanor at all times
- Computer literate, including Microsoft Office Suite and internet navigation skills.
- General office and strong oral and written communication skills
- Attention to detail
- Basic Arithmetic (e.g., addition, subtraction, multiplication and division) skills required
- Desire to work in a team environment
- Proven ability to accurately and timely complete tasks within established timelines and quality standards.
- Proven ability to read, understand and interpret documents and apply written policies and procedures.
- Ability to multi-task, be self-motivated and proactive.
- Perform any other related duties as required or assigned.
EDUCATION
- College Degree preferred
WORK ENVIRONMENT
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
PHYSICAL DEMANDS
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is required to remain in a stationary position (sit or stand); regularly use hands to operate office machinery and organize tenant files and paperwork and regularly required to walk, talk, and hear.
