Job description- Payroll Administrator / HR Coordinator
City Security Services is a growing physical security company. We are searching for a Payroll Administrator / HR Coordinator who can grow this position and implement / enforce existing policies and procedures as we evolve into a larger organization. Leadership is a must. You are responsible for coordinating all administrative activities related to an organization’s personnel.
Duties include payroll, managing employee benefits, facilitating recruitment program strategies, and onboarding new employees. Partnering with operation managers and scheduling dept to ensure flawless execution of HR policies and programs throughout the company. Our company environment is growth, and we are looking for a HR coordinator professional who can continue supporting the company activity.
This position will be required to train and provide orientation to new and existing officers one day a week. Current training day : Thursday
Recruiting responsibilities are shared with Operations. Reporting to COO.
ESSENTIAL FUNCTIONS
* Work with the account manager to define each role and its respective competencies, execute existing hiring and training plan, mining resumes, posting and screening internal and external candidates and presenting fully qualified candidates to the trainers and account managers.
* Maintain medical insurance plans.
* Acts as the primary point of contact for employee relations issues including but not limited to: being available to employees to listen and provide counsel, working with management to develop performance development plans for underperforming employees and assisting in the preparation of corrective action for employees who have violated a Company policy or procedure. Provides counsel to managers regarding terminations of employment. Mediates disputes between employees and also between employees and supervisors/managers.
* Manage and maintain employee records and files, employee orientation and on-boarding, termination processing and other clerical responsibilities.
* Liaises with vendors to ensure that workers compensation and unemployment claims are handled promptly and accurately. (none/to low activity)
* Manage TOPS compliance (high activity)
* Other duties as assigned.
MINIMUM QUALIFICATIONS AT ENTRY
Bachelor’s degree in human resources preferred or a business-related field with a minimum of 5 years’ experience.
* Thorough understanding of local, state and federal laws and regulations as they apply to employment.
* Intermediate level of skill in Microsoft Office Suite and familiarity with HR technology.
* Excellent verbal, written and interpersonal and consultative communication skills.
* Required ability to handle multiple tasks concurrently.
What does a typical week look like?
· Approve daily payroll hours by 11.00 AM
· Complete Payroll for VEL and VEM completed by Tuesday 12.00 PM and ensure it has been funded.
· Finance has all approved hours for billing by Noon on each Monday.
· Manage company’s asset in TrackTik Guarding Software.
· Every Wednesday, coordinate onboarding of potential new employees.
· Issue uniforms to Asset Manager upon hiring new employees.
· Make sure WOTC information has been acknowledged by new hires.
· Review Separation Referral Report daily, fill out Payroll section of the form.
· If an employee’s declines or terminated benefits, contact RCI to have them removed by 15th of each month.
· Review TWC site for new claimants’ information including Appeals. Make sure our systems (TrackTik, ATS and Netchex) are up to date. Use Source of Truth to locate the information.
· Accompany Operations Manager when officer has been asked to report to the office.
· Follow up Employee’s request for time off has been approved.
· Follow up with Operation Manager’s when officers’ licenses are due for renewals.
· File quarterly reports with Texas Mutual using Netchex.
· In Platform and ATS, ensure our new hires information is complete and timely.
