Business Services Associate

The Business Services Associate (BSA) interacts with Otsuka business leaders and their teams to provide administrative services relating to business strategy, products, processes, and systems and to support relevant day-to-day operations in the allotted timeframe. Provide administrative services to support key business initiatives and anticipate the future needs of the Otsuka department they provide services to. These roles will be supporting Executive Leadership.

  • ResponsibilitiesManage complicated business calendars in Outlook
  • Maintain confidential records and files
  • Assist with agendas, presentations, handouts, budgeting information and other written materials for distribution at meetings
  • Manage meetings with internal and external customers (scheduling, meeting invites, prepare agendas and collect and distribute materials for meetings, assist in writing meeting minutes, arrange catering etc.)
  • Plan on and off-site large events and conferences
  • Manage complex travel schedules-both domestic and international (Air/Train/Ground/Hotel)
  • Complete expense reports following company guidelines
  • Supports SOW/MSA/PO creation and tracking in Ariba; Support HCP contracts in inhouse system
  • Experience with SAP/Ariba is preferred
  • Identify opportunities to streamline workflows, to prioritize key business activities and develop solutions
  • Manage all operational detail and issues independently-take ownership for completion
  • Prepare reports or replies to inquiries, selecting relevant information from a variety of sources
  • Assist in moderately complex project coordination and support departmental initiatives
  • Onboarding/Offboarding administrative support
  • Ethics & Compliance – Complete required training and review of required SOPs in designated time frame
  • Other administrative tasks as needed
  • May require occasional travel to support offsite meetings (2-3 times per year)


  • RequirementMinimum 5 years’ Administrative Assistant experience supporting multiple leaders with at least 1 Executive
  • Must have experience within a mid-size company, similar to Otsuka
  • Pharma background is a plus, not required
  • Must be a proactive, independent thinker
  • Must have experience using Concur for travel arrangements
  • MS Office (Word, Excel, PowerPoint and Teams)- Heavy Teams usage for meetings
