Job Title: Administrative Assistant/Executive Assistant, Sales
Job Summary:
We are seeking a dynamic and experienced Senior Administrative Assistant to provide high-level support to senior executives. The ideal candidate will excel in managing complex calendars, handling competing priorities, and offering proactive solutions with minimal direction. This role requires strong organizational skills, a high level of confidentiality, and the ability to work independently in a fast-paced environment.
Key Responsibilities:
- Manage complex calendars, schedule meetings, and coordinate travel arrangements.
- Provide administrative support, including preparing reports, correspondence, and presentations.
- Liaise between executives and internal/external stakeholders, ensuring seamless communication.
- Handle sensitive and confidential information with discretion.
- Anticipate executive needs and proactively resolve issues or streamline processes.
- Facilitate meetings, take minutes, and follow up on action items.
- Assist in organizing and planning small events and programs as needed.
- Compile and process executive expense reports and maintain organizational files.
Qualifications:
- Bachelor’s degree preferred, or equivalent experience.
- Minimum of 5+ years of experience supporting senior executives, with at least 2 years in a fast-paced environment.
- Strong organizational, communication (verbal and written), and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools.
- High level of integrity, confidentiality, and professionalism.
- Ability to multitask, prioritize effectively, and work under pressure.
- Experience in supporting sales teams or start-up environments is a plus.
Preferred Skills:
- Strong problem-solving and analytical abilities.
- Ability to work independently and take initiative.
- Flexibility to work early or stay late when necessary.
