Executive Assistant

Job Summary
The Executive Assistant provides high-level administrative support to the Senior Vice President of Patient Care Services/Chief Nurse Executive (CNE) and the Chief of Staff (CoS) to the CNE. This role requires exceptional organizational skills, discretion, and the ability to work independently in a fast-paced environment.
Key Responsibilities
- Maintain complex calendars, schedule meetings, appointments, and travel arrangements, exercising discretion in committing time and evaluating needs.
- Serve as a liaison between the CNE, DUHS leadership, and external stakeholders, including hospital and system leaders, Duke University School of Nursing leaders, and outside vendors.
- Provide direction and prioritization standards for the screening of executive mail, email, and voicemail, using expert judgment and knowledge.
- Anticipate executives' needs and proactively bring together appropriate resources to support them in addressing issues.
- Monitor, verify, and process expenditures, ensuring compliance with University policies.
- Plan, organize, and implement virtual and in-person meetings, events, and continuing education courses.
- Independently complete special projects, including creating presentations, financial spreadsheets, and reports.
- Handle confidential information and maintain confidentiality.
- Interpret departmental policies and procedures, making decisions on specific operating problems and issuing instructions in the name of the departmental and divisional head.
Requirements
- Bachelor's degree preferred, with a business or office management background generally equivalent to a bachelor's degree in a business or secretarial-related field.
- Knowledge generally acquired through six years of executive secretarial experience of increasing variety and/or complexity.
- Demonstrate ability and temperament to work with sensitive information, detail-oriented self-starter with prior experience in healthcare or a similar capacity.
- Demonstrate interpersonal skills and proficiency in business vocabulary to effectively represent the executive and the company to outside parties.
- Exhibit sound judgment, ability to prioritize, and decision-making skills to respond to high-pressure situations.
