• Previous experience with computer applications, such as Microsoft Word, Excel and PowerPoint.


Summary:

The main function of an Executive Administrative Assistant is to provide high-level administrative support by conducting research, handling information requests and performing clerical functions. A typical administrative assistant acts as information and communication managers for an office.


Job Responsibilities:

• Supervise general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.

• Review and approve invoices, reports, memos, letters, financial statements, and other documents.

• Review and approve corporate documents, records, and reports.

• Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.

• Prepare agendas and make arrangements for committee, board and other meetings.

• Make arrangements for travel, planning meetings, etc.


Typical Day in the Role

• Purpose of the Team – Customer support, roll up to customer service and support. This team is front line customer facing. When enterprise customers have an issue with the services that they’ve purchased, it’s this team that gets on the phone to take care of them. Example: executive escalations

o Brand new manager who with be the GM for crisis management (GM's job has high impact on the satisfaction on external customers) coming to Microsoft (very high level). NEED someone with Microsoft experience. Need a creative thinker. This executive will be front line to crisis and preventing crisis (very busy and needs someone to help ground her).

• Key projects

o They will support their GM end-to-end. Focus on one person (this GM). They will be given specific workflows to own. This person will have opportunities to do some new workflows because of new leadership coming in. Transformational time.

• Typical task breakdown and operating rhythm

- The person will need to be able to change directions, re prioritize, and still check every box despite the change of directions. Things are always changing and moving

- Triaging e-mails/tasks/teams

- Tasks that result from triage/task-driven

- Meetings

- Work on stretch projects

- Calendaring

- Checking e-mails and prepping for next day
