The primary role of the Executive Assistant is to manage all logistical, administrative, and operational details for two Principals of MCB.


The position involves providing superior client service to diverse internal and external stakeholders across multiple offices and time zones using various means of communication. The individual in this position must exercise discretion and independent judgment while operating with minimal oversight or direction in significant matters related to Firm operations.


Executive Administrative Support

  • Maintain primary schedule by scheduling calls, appointments, and meetings; securing meeting space and meeting facilities/catering; and resolving any scheduling conflicts to ensure effective use of time and resources.
  • Review and analyze various requests and inquiries and respond as appropriate, ensuring all relevant messages are communicated to the designated senior executives in a timely manner.
  • Ensure the Principals are prepared in advance for meetings, events, and other obligations by compiling reports and notes/key information from previous meetings and other relevant sources; finalizing the meeting materials and communications for distribution to attendees; ensuring any advance materials are delivered successfully to attendees; and performing other related tasks as requested.
  • Manage post-meeting follow-up; create systems to track priorities and execution.
  • Independently, and collaboratively with other EA’s as needed, arrange complex and detailed travel plans, itineraries, and agendas for designated senior executives by interfacing directly with airlines, hotels, car service, etc., resolving any travel-related conflicts or schedule changes.
  • Maintain, organize, and compile business expense documentation and enter business expense reports in Concur.
  • Coordinate and facilitate non-business errands and calendar for the Principals in conjunction with business calendar schedule; assisting with business and non-business errands when needed.

Correspondence and Relationship Management   

  • Review and analyze email requests and inquiries and respond as appropriate.
  • Answer calls, communicate messages, and coordinate correspondence in a timely manner.
  • Consistently treat confidential and non-routine information with extreme confidentiality, discretion, and sensitivity.
  • Nurture successful business relationships with existing service providers and vendors and maintain current vendor and service contact list.


General Business Support

  • Collaborate and work with MCB team members on special and recurring projects, including the generation of weekly, monthly, and quarterly reports for internal and external distribution.
  • Collaborate with other designated team members as needed in support of general business purposes.


KNOWLEDGE, EXPERIENCE, SKILLS/ABILITIES

  • Bachelor’s degree from an accredited university preferred; may substitute equivalent number of years of related experience and education.
  • Minimum five years’ related work experience with proven progressive responsibility supporting senior-level managers in a corporate setting, preferably in the commercial real estate industry.
  • Computer Skills: Proficient with Microsoft Office suite, including advanced knowledge/experience with Excel, Word, and PowerPoint. Advanced proficiency with ADOBE Acrobat PRO and other business software platforms, such as Concur expense management.
  • Excellent verbal and written communication skills; ability to effectively communicate with all organizational levels.
  • Self-motivated and self-directed with experience exercising independent judgment and discretion. An entrepreneurial approach to task management.
  • Proven ability to work effectively in a fast-paced environment by multitasking, balancing priorities, meeting deadlines, anticipating issues/problems, and performing with a high level of accuracy and attention to detail.
  • Excellent organizational skills and attention to detail. Able to effectively multitask, prioritize, and efficiently manage time; able to simultaneously manage multiple projects and deadlines.
  • Demonstrated team player with the ability to build and maintain strong working relationships.
  • Strong problem-solving capabilities with a focus on creativity and the ability to implement process improvements. Consistent work ethic and a dedication to following tasks through to completion.
  • Flexibility and adaptability to various changing working conditions based on priorities, with a willingness and ability to work extended hours as requested.
  • Ability and wiliness to independently travel to external business meetings and events in performance of the job duties.
