Brief Summary: We are seeking a detail-oriented and customer-centric individual to join our team as an Inside Sales Specialist. This role will primarily focus on order processing, account setup, commission payments, and driving increased customer engagement. The ideal candidate will possess excellent organizational skills, strong attention to detail, and a proactive approach to problem-solving.


About the roles and responsibilities:

1. Order Processing:

  • Process incoming orders accurately and efficiently, ensuring timely order fulfillment.
  • Monitor order status and resolve any discrepancies.
  • Aim to achieve a 99% order accuracy rate.
  • Facilitate customer confirmation and order acknowledgment

2. Account Setup:

  • Facilitate the seamless onboarding of new customers by setting up their accounts accurately and promptly.
  • Collaborate with the finance department to ensure proper terms and payment terms are applied during the account setup process.
  • Implement a comprehensive account setup checklist and improve the onboarding experience based on customer feedback.
  • Achieve a 95% satisfaction rate among newly onboarded customers regarding account setup within the first six months.

3. Commission Payments:

  • Review and process sales commissions accurately and in a timely manner, aligning with the established commission structure.
  • Collaborate with the sales and finance teams to resolve commission-related discrepancies or issues.
  • Communicate monthly commission statements with rep agencies.

4. Marketing Support:

  • Provide marketing support by coordinating the distribution of marketing materials, samples, and promotional items to customers and reps where and when needed.
  • Assist in organizing and coordinating customer-focused events, such as product launches, trade shows, meetings or influencer engagements.
  • Increase customer engagement with marketing materials by 20% and contribute at least three actionable insights for marketing strategy enhancement annually.
  • Assist in the website development content through various tasks as assigned by the President and V.P. of Marketing for BBI.

5. MAP Pricing Oversight:

  • Monitor Minimum Advertised Price (MAP) compliance by regularly checking online and offline channels for pricing violations using MapTrapp software.
  • Collaborate with the sales to address MAP pricing violations and implement corrective actions.
  • Maintain accurate records of MAP violations, resolutions, and communication with violators.
  • Reduce MAP pricing violations by 25% through proactive monitoring and enforcement in the next fiscal year.

6. AR Support:

  • Provide ongoing collections support for outstanding AR balances.
  • Review and update personnel contact information to ensure timely collection actions.
  • Communicate weekly on outstanding balances owed and status of payments
  • Achieve an average of no less than 45 days DSO for aging invoices on a regular basis.

Qualifications:

  • Bachelor's degree in business administration, marketing, or a related field preferred.
  • Previous experience in administrative support, order processing, or account management roles.
  • Strong analytical skills and ability to interpret data to drive decision-making.
  • Excellent communication and interpersonal skills.
  • Proficiency in Google suite and experience with CRM software (Hubspot) required and experience in Quickbooks preferred.
  • Ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Customer-focused mindset with a passion for delivering exceptional service.
  • Experience in sales or customer relationship management is a plus.
