Description

The Client Services Associate supports multiple Financial Advisors by handling client account setup and maintenance. This role also includes securing approvals for Financial Advisor (FA) communications, delivering comprehensive client service support.


Primary Tasks & Responsibilities

  • Handle clerical tasks for setting up client accounts and updating account features as chosen by clients.
  • Collaborate with Financial Advisors (FAs) and clients to collect necessary documents for different account types.
  • Help maintain complete records of client accounts and trades for FAs and required branch office files.
  • Manage client requests for operational or administrative needs, like check requests, wire transfers, address updates, and setting up online account access.
  • Provide account information to clients on request.
  • Identify and report to FAs or the Branch Manager any unusual client or employee activities or behaviors.


Qualifications

  • Familiarity with office procedures and systems, including word processing and spreadsheet software, file management, and understanding office terminology.
  • Capability to manage and prioritize multiple tasks and deadlines, complete goals, manage expectations effectively, and use company resources efficiently.
  • Ability to apply logical thinking to evaluate alternatives, identify solutions and weaknesses, and approach problems practically.
  • Understanding of how to provide outstanding customer service, encompassing customer needs assessment, adhering to quality standards, and evaluating customer satisfaction.
  • Skilled in conveying information clearly in both written and spoken forms, ensuring understanding, with strong grammar and professional communication etiquette.
  • Fluency in Portuguese and English


Education & Experience

  • Experience with W8-BEN accounts, Account Documentation for International Clients (i.e.: Personal Holding Companies, Personal Investment Companies, Trusts, Offshore Companies, etc)
  • High School Diploma or 2 year Associate degree (preferred)
  • At least 2 years of clerical or relevant industry experience (Banking or Wealth Management)
  • Skilled in Microsoft Excel, Word, PowerPoint, and Outlook.
