Reports To 

Operations Manager 

 

General Function 

Responsible for greeting visitors, receiving/transferring telephone calls to the appropriate department and monitoring the daily activities of the reception area and office.  Additionally, the Receptionist shall provide information; operate office equipment and other routine administrative functions. 

 

Qualifications 

  • High school diploma or equivalent 
  • Minimum One (1) year experience in an administrative office or customer service position 
  • Excellent written and verbal communication skills  
  • Strong working knowledge of the Internet and Microsoft Office Applications specifically Word, Excel and Outlook 

Essential Functions 

  • Answer telephone calls promptly and efficiently; provide information for routine inquires or route calls to the appropriate staff 
  • Take messages for unavailable employees and communicate these messages to the proper personnel in a timely manner. 
  • Schedule appointments for department employees as needed 
  • Operate office equipment and make service calls when necessary 
  • Maintain and order appropriate supplies for the office and all office equipment and deliver supplies to the appropriate department. 
  • Stock kitchen supplies and beverages 
  • Organize and maintain common areas such as: kitchen, supply room, conference rooms, and waiting area up front. 
  • Sort, stamp and deliver mail, FedEx and UPS packages to the appropriate department or persons in a timely fashion 
  • Responsible for all shipping and courier services 
  • Schedule breakfast/luncheons as needed 
  • Perform other duties, functions, special projects, and responsibilities as assigned by Principals and Department Staff 
  • Organize travel arrangements 
  • Assist Controller with compiling receipts and invoices to reconcile company credit card 

 

Other Responsibilities:  The Receptionists shall maintain a professional attitude in the performance of all duties.  Information, written correspondence, and business conversations shall be kept in confidence at all times. 

Hours are Monday – Thursday 8:00 am – 5:00 pm & Friday 8:00 am – 4:30 pm.
