Key Responsibilities:

  1. Reception Duties:
  • Answer and direct phone calls promptly and professionally.
  • Greet visitors with a welcoming attitude, ensuring they are directed to the appropriate person or department.
  • Manage incoming and outgoing mail and deliveries.
  1. Office Supply Management:
  • Monitor and maintain inventory levels of office supplies.
  • Order supplies as needed to ensure the office is well-stocked at all times.
  • Manage relationships with vendors to ensure timely delivery of supplies and services.
  1. Communication:
  • Prepare and distribute emails, memos, and other forms of communication on behalf of the office.
  • Assist in drafting and proofreading correspondence and reports.
  • Maintain and update contact lists and other communication tools.
  1. Office Maintenance:
  • Coordinate with vendors for office maintenance, repairs, and cleaning services.
  • Ensure that the office environment is well-maintained and presentable.
  • Address any maintenance issues in a timely manner.
  1. Support to Staff:
  • Provide administrative support to various departments, including preparing documents, reports, and presentations.
  • Assist in scheduling meetings, organizing files, and maintaining records.
  • Support special projects and other duties as assigned.

Qualifications:

  • High school diploma or equivalent
  • Previous experience in an administrative or office support role is preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication abilities.
  • Ability to work independently and as part of a team.
