As a Client Manager, you will act as the primary point of contact for clients from the initial consultation through the post-event follow-up. You will guide clients through every stage of the event planning process, coordinating with vendors, internal teams, and stakeholders to ensure that each event is executed flawlessly and meets the client’s goals and expectations. This is an ideal role for a highly organized, client-focused professional who thrives in a fast-paced, creative environment. You’ll have the opportunity to work with a talented team to deliver exceptional events and build lasting relationships with clients.


Key Responsibilities:

  • Client Relationship Management: Serve as the main point of contact for clients, maintaining strong, professional relationships throughout the event planning process. Ensure clients feel supported, informed, and valued at all times.
  • Logistics Planner Management: Serve as the manager of tasks assigned to the logistics planner, maintaining regular communication to ensure tasks are being completed on time and then communicated out to clients appropriately. 
  • Event Planning & Strategy: Work closely with clients to understand their event goals, vision, and budget. Provide expert guidance and strategic recommendations to help them achieve their objectives while staying within scope and budget.
  • Project Coordination: Lead the planning and execution of multiple events, ensuring all aspects of the event are coordinated and managed effectively working closely with your assigned logistics planner. This includes developing detailed event timelines, organizing logistics, and overseeing the overall flow of the event. 
  • Vendor Management: Manage relationships with vendors, ensuring all deliverables align with the event’s vision and client expectations. Oversee vendor contracts, communications, and logistical coordination to ensure smooth operations.
  • Budget & Financial Management: Develop and manage event budgets, ensuring that expenses are tracked and managed effectively. Provide regular financial updates to clients and internal teams, and ensure all payments, invoices, and contracts are processed in a timely manner.
  • Team Collaboration: Work closely with internal teams, including event coordinators, logistics planners, creative designers, and production staff, to execute events. Collaborate with the creative team to align the event’s aesthetic with the client’s vision.
  • Problem-Solving & Client Support: Address any client concerns or issues proactively and efficiently. Be prepared to troubleshoot problems before, during, and after events to ensure client satisfaction.
  • Event Day Oversight: Ensure seamless on-site event execution by overseeing the setup, coordination, and management of staff, volunteers, and vendors. Act as the point of contact for clients on the day of the event to ensure everything runs smoothly.
  • Post-Event Follow-Up: Provide clients with a post-event debrief, collecting feedback to ensure that the event met their expectations. Assist with final billing and payment, and maintain strong relationships for future opportunities.
  • Documentation & Reporting: Maintain comprehensive event records, including contracts, timelines, meeting notes, and communication logs. Ensure all client requirements and contractual obligations are met and documented.


Skills & Qualifications:

  • Experience: Minimum of 3-5 years of experience in event planning, client management, or a related field. Experience working with non-profit clients or large-scale events is a plus.
  • Client-Focused: Strong customer service and relationship-building skills, with a focus on delivering a high level of satisfaction and trust.
  • Organizational Skills: Excellent project management and organizational abilities, with a proven track record of managing multiple events simultaneously and meeting deadlines.
  • Communication Skills: Outstanding verbal and written communication skills, with the ability to articulate complex ideas clearly and professionally to clients, vendors, and internal teams.
  • Financial Acumen: Experience managing event budgets, contracts, and invoices, with a keen attention to detail and ability to forecast and manage costs.
  • Problem-Solving: Strong analytical and problem-solving skills, with the ability to think quickly and remain calm under pressure.
  • Leadership: Ability to lead and motivate teams, providing direction and ensuring that every team member is aligned with the event goals and timelines.
  • Creative & Strategic Thinking: A balance of creativity and strategic thinking, able to help clients achieve their vision while keeping logistics and budgets in mind.
  • Technology Proficiency: Proficiency in event management software, Microsoft Office Suite (Excel, Word, PowerPoint), and CRM tools. Familiarity with design software and tools is a plus.
  • Education: Bachelor’s degree in Event Planning, Hospitality Management, Business, or a related field preferred.
