Real Estate Administrative Assistant

Sower is seeking a Real Estate Administrative Assistant to join our growing organization. This full-time position offers competitive benefits and compensation package, flexible work schedule and the opportunity to work in a collaborative, high energy team environment.
The Real Estate Administrative Assistant plays a critical role in supporting the Commercial and Farmland verticals by managing transactions and administrative functions. This role requires exceptional organizational skills, attention to detail, and the ability to work across multiple teams. The ideal candidate will be proactive, flexible, and comfortable managing multiple priorities in a fast-paced environment.

REAL ESTATE ADMINISTRATIVE ASSISTANT RESPONSIBILITIES:
Administrative Support:
- Provide administrative assistance to the Commercial and Farmland teams, including calendar management, meeting scheduling, and travel coordination.
- Prepare, organize, and maintain transaction files and documentation across both verticals.
- Monitor and track critical deadlines, project deliverables, and schedules for real estate transactions.
- Draft and distribute correspondence, reports, and updates to internal and external stakeholders.
- Manage office supplies and assist with technology troubleshooting, as needed.
- Ensure proper recordkeeping and compliance with company policies regarding document retention for both Commercial and Farmland investments.
- Maintain organized files and ensure documentation remains accessible and up to date.
- Support data entry and management across platforms to ensure accurate reporting.
Transaction Coordination:
- Support due diligence processes for Commercial and Farmland transactions, including organizing property surveys, title reports, and tax records.
- Coordinate with external stakeholders such as lenders, title companies, and property managers to ensure seamless transaction execution.
- Assist with the preparation and review of closing documents, closing binders, and post-closing records for both verticals.
Cross-Functional Collaboration:
- Serve as a liaison between the Commercial and Farmland teams and other departments, fostering alignment and clear communication.
- Participate in team meetings, providing administrative support and capturing action items.
- Collaborate on special projects and provide support as needed for cross-vertical initiatives.
EDUCATION, EXPERIENCE AND OTHER QUALIFICATIONS:
- Associate's degree or equivalent work experience in an administrative role; Bachelor's degree preferred.
- Minimum of two years of administrative support experience, preferably in real estate, agriculture, or a related field.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
- Familiarity with real estate documentation and transaction processes is a plus.
- Strong organizational skills and the ability to manage multiple tasks simultaneously.
- Excellent written and verbal communication skills.
- Professional demeanor and commitment to maintaining confidentiality.
- Ability to work independently and collaboratively across teams.
This full-time position offers competitive benefits and compensation package including two group health insurance options: PPO or HDHP plans, dental, vision and voluntary life insurance at nominal costs as well as additional individual policy offerings of Accident, Critical Illness and Hospitalization plans. Also available are Flex Spending Accounts (medical and dependent care) and/or an HSA account (with an HDHP).
