The ideal candidate is a detail-oriented team player who will be the first point of contact for visitors at the office, greeting them in a polite and well-spoken manner. You will also be assigned duties as required (i.e. organization of inbound and outbound mail, administrative work, and general clerical support among other duties).


Responsibilities

  • Distribute mail
  • Act as first point of contact for visitors
  • Manage calendars, schedule appointments, and assist with project coordination
  • Transcribe messages and communicate information to the appropriate staff members
  • Assist with customer support inquiries and provide excellent customer service
  • Maintain a clean and organized reception and break room area
  • Efficiently manage office tasks, ensuring the smooth execution of daily operations.
  • Coordinate schedules and appointments, optimizing time management for executives and team members.
  • Handle phone calls, emails, and other communications with professionalism and attention to detail.
  • Provide administrative support to executives, including document preparation, meeting coordination, and data management.
  • Maintain confidentiality and handle sensitive information with discretion and integrity.
  • Prioritize tasks effectively, ensuring deadlines are met and objectives are accomplished in a timely manner.
  • Foster a positive and productive work environment through excellent interpersonal skills and collaboration with team members.
  • Assist HR in various tasks
  • Perform general administrative tasks as needed and other duties as assigned.


Qualifications

  • High school diploma or relevant work experience
  • Excellent communication skills, written and verbal
  • Minimum of high School Diploma. Associate or bachelor’s Degree is strongly preferred.
  • 3+ years of proven experience in administrative roles with a focus on organization and attention to detail.
  • Strong interpersonal skills with the ability to interact professionally with internal and external stakeholders.
  • Commitment to maintaining confidentiality and handling sensitive information with discretion.
  • Ability to prioritize tasks, multitask, and adapt to changing priorities in a fast-paced environment.
  • Proficient with Microsoft office suite or related software as required for recordkeeping and documentation
  • Must be able to speak, read and write in English, bilingual is a plus.
  • Must pass a criminal background check, as well a drug test
  • Must possess and maintain a valid driver’s license
