Dagen Personnel is recruiting a temp to perm Administrative Assistant for the marine division of an oil & gas company.
The successful candidate will be responsible for:
- Assisting the Marine Administrative & Maintenance departments in tracking, reconciling, and processing service-related maintenance invoices.
- Providing outreach to vendors via email or telecom pertaining to receipt & payment status of invoices, as needed.
- Assisting the Marine Administrative department in tracking & allocating fuel consumption for the inland fleet of vessels.
- Providing outreach to vessel crew via email or telecom pertaining to fuel consumption corrections, as needed.
- Assisting the Marine Administrative department in processing invoices affiliated with freight charters, as needed.
- Assisting the Marine Procurement department in initiating and tracking Master Service Agreements with vendors, as needed.
- Collaborating with various divisions within the Marine staff daily.
- Participating in daily/weekly meetings, as needed.
Requirements:
- HS diploma required. 4-year degree preferred.
- Some administrative work experience required, including internships or coops.
- Must have strong organizational skills and take initiative with task-related projects.
- Must thrive in a semi-autonomous environment once competency is established with the primary functions of the role.
- Must show proficiency with the Microsoft Suite of products, particularly Excel and Outlook. Working knowledge of intermediate level Excel functions (i.e. VLOOKUP, INDEX, SUMIF, etc.) is preferred.
- Must have strong interpersonal and communication skills.
- Employee is required to report in-person (5 days/week) at the downtown Houston office.
