We are seeking an experienced and motivated Office Manager to join our team and help drive the success of our company.


Position Overview:

Reporting to the CEO, the Office Manager will be responsible to keep the operations of our Elyria, Ohio office running, which will include but not be limited to the support of all key functional areas including order fulfillment, purchasing, sales and marketing, human resource and customer service. You will work closely with all Resivant employees as well as our external partners, distributors and customers to ensure a positive experience when interacting with our growing organization. There will be intensive interaction with senior management team including the heads of Quality/Regulatory, R&D, and Sales and Marketing, who will provide sufficient training in all areas of daily activities and support your development.


Key Responsibilities:


General Office Support & Management/Administrative Responsibilities:

  • Act as the “front desk” and face of the company at our headquarters in Elyria, Ohio.
  • Create and maintain orderly systems and filing of documents, contracts, etc. in a digitized manner, utilizing our ERP system, NetSuite, as well as Microsoft Office tools.
  • Assist the CFO in administering employment policies such as annual reviews, vacation time requests, sick time requests, etc.
  • Support our head of Sales & Marketing in marketing efforts, such as in preparation for trade shows, sales and related customer support.
  • Work with purchasing and our external bookkeeping service to support in timely/accurate processing of vendor invoices, as well as support accounts payable and receivable.
  • Provide weekly, monthly, and quarterly reporting as requested by management.
  • Provide as needed administrative support to the leadership team.
  • Other duties assigned.


Customer Service / Customer Facing Responsibilities:

  • Act as the first line of customer service to all external parties (customers, distributors, manufacturing partners, etc.) to field basic product level and administrative support needs of these parties; triage and partner with internal leadership to solve for the needs of the customer.
  • In support of trade shows and other sales and marketing activity, field first level customer inquiries.
  • Provide support to the purchasing function which may include processing orders, generating invoices, ensuring product flow, and tracking of the accounts receivable cycle within our ERP system.


Candidate Requirements:

  • 5+ years relevant experience, including the following specific experience requirements:
  • General / administrative support and/or office management experience is required.
  • Customer service experience is required.
  • Experience working with contract manufacturers, logistic service providers, or other similar external parties is preferred.
  • Accounts Receivable and Payable experience or similar experience is preferred.
  • Startup and/or medical device company experience is preferred, but not required. In lieu of having worked in a startup or high growth company, experience working in a dynamic, fast-paced, and ever changing environment (with ease) will be considered.
  • Ability to work and thrive in a highly digitized environment with a proficiency in Microsoft Office (including excel) is required; experience working within an ERP system is preferred. We are seeking candidates with the ability to apply a high degree of administrative automation/digitization to create robust company office processes (i.e., management of e-mail, calendars, vendor records, and communications).
  • Willingness to work out of our Elyria, Ohio office.
