Esplanade Builders, Inc is seeking an experienced Project Coordinator, with past experience at a local General Contractor.

 

Project Coordinators at Esplanade Builders, Inc provide administrative support to the Project Management team. They offer a hands-on approach in assisting in all aspects of our Commercial TI projects, from fruition to closeout. They are available to run errands outside of the office when necessary and have a helpful attitude in getting the job done.

Duties and responsibilities include, but are not limited to:

  • Manage project related document controls and plans/drawing maintenance including distribution of drawings revisions and trade notifications
  • Engage and collaborate with the project team and consultants to research and author RFIs
  • Maintain and update the project record set including “posting” of all RFIs
  • Manage the submittal process including reviews, tracking and distribution
  • Assist with procurement of PCOs/change orders from assigned trades/subcontractors
  • Assist with preparation of Owner Change Order Request
  • Assist with the coordination and management of assigned trades/subcontractors
  • Log Lead Items Tracking and manage the material procurement process of assigned trades
  • Prepare standard project status reports for project delivery team or work group, client and management. Reports typically include: status update, budget, schedule and risk.
  • Coordinates and schedules meeting and communication plan(s) regarding projects among team and/or client. Coordinates and obtains vendor quotations for processing. Coordinates change orders, change directives (CD) and contemplative change notices (CCN) with consultants and vendors.
  • Assists in project close-out procedures for all projects including: arranging archiving of hard copy files; receipts of necessary close out/turnover documents; compliance with close-out checklist; receipt of occupancy and closed building permits and warranty manuals; receipt of As built and CAD drawings for submission to CAFM; and, collection of required documents for project audit. Assists Project Manager in maintaining project metrics for SLA & KPI's.

 

Requirements:

  • Prior experience at a local General Contractor
  • 2+ years holding Project Coordinator title
  • Must exhibit excellent punctuality and attendance
  • Experience pulling permits
  • Proficient in reading plans for all trades, and can independently populate a submittal log using plans as reference 
  • Construction document review and coordination abilities
  • Must work well under pressure and enjoy a fast-paced environment
  • Clear and effective communicator with staff, clients, and vendors
  • Able to work independently, self-manage workload and remain motivated to meet deadlines
  • Experience with Sage accounting software is a plus
  • Experience with Microsoft 365 and strong Excel skills
