JOB OVERVIEW

The Event Producer is responsible for the end-to-end planning, coordination, and execution of events, ensuring high-quality delivery that aligns with client expectations and company standards. This role requires a strong attention to detail, excellent organizational skills, and the ability to manage multiple projects simultaneously while maintaining a focus on operational excellence and client satisfaction. The ideal Event Producer is a dynamic individual who can balance the creative and logistical aspects of event production, consistently delivering high-quality experiences that meet client needs and company standards.


JOB ACCOUNTABILITY

Event Planning and Coordination

  • Develop and manage comprehensive event plans, including timelines, schedules, and resource allocation, ensuring alignment with client objectives and company standards.
  • Collaborate with internal teams and external vendors to coordinate all aspects of event logistics, from concept to execution.

Vendor and Supplier Management

  • Identify, evaluate, and manage relationships with vendors and suppliers, ensuring they meet quality standards and adhere to event requirements.
  • Negotiate contracts and manage deliverables, coordinating effectively to support seamless event execution.

On-Site Event Management

  • Lead on-site event operations, ensuring smooth execution of the event schedule and addressing any issues in real-time.
  • Serve as the primary point of contact for clients, vendors, and team members during events, maintaining clear communication and problem-solving as needed.

Budget Management

  • Develop and manage event budgets, tracking expenses and ensuring financial targets are met.
  • Provide accurate and timely financial reporting post-event, contributing to overall profitability goals.

Creative and Technical Execution 

  • Work closely with creative and technical teams to integrate visual, audio, and experiential elements that enhance the overall event experience.
  • Ensure all production aspects align with the event's theme, objectives, and client expectations.


KEY COMPETENCIES

  • Proficient in TEAMs & Microsoft Office including PowerPoint, Excel, & Word
  • Strong working knowledge of group transportation, audiovisual, F&B, supplier management
  • Excellent communication & interpersonal skills
  • Exceptional time management and handling multiple deliverables & programs concurrently
  • Ability to work independently as well as contribute to a team environment
  • Strong organizational & project management skills

  • Flexibility to travel and work non-traditional hours, including evenings and weekends
  • Knowledge of event planning software & tools; Event Cost Sheet, Social Tables & Nowsta preferred
  • Knowledge of industry trends and best practices in event production


EDUCATION/EXPERIENCE

  • Bachelor's degree in Event Management, Hospitality, Marketing, or related field
  • Minimum of 3-5 years of demonstrated experience in event planning & production
  • Proven track record of successfully managing multiple events simultaneously
  • Experienced in managing event budgets, clients, suppliers, venues, and staff

The salary range for this position is $65,000 to $85,000 annually based on relevant experience, industry knowledge, and technical expertise. This position is also eligible for performance-based bonuses and profit-sharing opportunities. (This is a Colorado-based position.)
