JOB DESCRIPTION
TITLE: OFFICE COORDINATOR
DEPARTMENT: ADMINISTRATION
REPORTING TO: HUMAN RESOURCE MANAGER
LOCATION: NEW YORK, NY
Summary
The Office Coordinator will oversee a variety of day-to-day office, clerical, and support tasks. This role will be an integral part in ensuring that our office operations run smoothly. It entails reception responsibilities, calendar and event management, supply management, and providing direct support to the President & Founder.
Essential Functions
• General reception responsibilities including greeting guests, answering phones, receiving and sorting mail and packages
• Calendar management for conference rooms and shared spaces, meeting scheduling, and maintenance of company calendar
• Order office supplies and maintain supply inventory
• Order and setup of company meals, assist with events and event expense tracking; Assist with dining and hotel reservations as needed
• Maintain common spaces; Building management liaison, facilitate printer and general office maintenance and repair
• Provide direct administrative support for the President & Founder including calendar management and scheduling, file maintenance, and general administrative support tasks.
• Provide general support to various office teams as needed (re: Accounting tasks, deposits, etc.).
Qualifications
• A love of good food and an interest in the specialty food industry. Bonus if you like Mediterranean food
• The ideal candidate will be a seasoned customer service all-star with a hospitality mindset. They should be a self-starter and team player ready to roll up their sleeves
• Candidates should be outstanding written and verbal communicators with an eye for detail and accuracy.
Requirements
• Associate or Bachelor’s degree in office administration, management, or related field preferred
• 4+ years working in office coordination, administrative support, and/or hospitality-related field
• Tech savvy and comfortable with Microsoft Office Suite, particularly Outlook and Excel
Travel Requirements
• This role requires minimal travel
