The Role:

The Global Talent Acquisition (GTA) Team is looking for a Coordinator who shares the client’s vision and interest in providing an exemplary customer service experience to our North American based candidates. Partnering with our Recruiters to deliver a candidate centric hiring experience requires expert judgment and attention to detail to support our growing Software & Services organization. High touch role, white glove service is a must.


Coordinator supporting Software & Services in the client’s Mountain View, CA office (Hybrid). The hiring manager is looking for someone with experience in interview scheduling and providing white glove treatment of Big Tech candidates, many of whom may be executive level.


The client recognizes that hiring the best global talent is at the core of their business success. They believe that their employees are the most credible brand ambassadors to authentically and powerfully tell the company’s story to inspire and capture the hearts and minds of key talent for our company. They are looking for an exceptional Talent Acquisition Coordinator who can fully align with their vision and flawlessly assist in the recruiting process from candidate interviewing through pre-employment.


Typical Day:

  • Schedule complex interviews with excellent candidate care
  • Manage scheduling conflicts and calendar changes from candidate and interview teams
  • Educate Recruiters and other stakeholders on how to best use interview scheduling tools
  • Provide outstanding candidate care. Ensure timely and accurate feedback to all inquiries for our Candidates, Recruiters, Hiring Managers and HR Partners
  • Provide in-person candidate greeting and onsite interview support
  • Monitoring background checks and drug screens during the pre-employment stage, providing status updates and escalations where needed to ensure timely start dates
  • Manage and maintain candidate trackers in alignment with the Applicant Tracking System and candidate pre-employment results
  • Communicate to recruiting team any challenges throughout the recruiting, interviewing, and pre-employment process


Required Qualifications:

  • Minimum 4-5 years supporting recruiting activities in a Coordinator capacity (including complex interview scheduling and monitoring background checks with adjudication)
  • Proficiency in Microsoft Suite products (Outlook, Excel, Teams)
  • Agility to quickly learn new processes and recruiting technologies
  • Excellent customer service skills both written and verbal
  • Strong administrative and organizational skills


What Will Give You a Competitive Edge (Preferred Qualifications):

  • Proficiency in using applicant tracking system (particularly Workday), and background check vendor tools (like HireRight)
  • Previous experience supporting recruitment of technical roles in a fast-paced environment, particularly in big tech companies
  • Bachelor’s degree


Location: Mountain View, CA | Hybrid (M-F / 8:00-5:00PM PST)

Duration: 12+ month W2 contract
