OFFICE MANAGER

 

The Office Manager will perform typical Accounts Payable, Accounts Receivable, Reporting, Journal Entries, and select renewal and compliance reports and applications.  Monthly, financial reports will be ready for Board Meetings. Support for account reconciliation and payroll services. Check signing will be completed by others. 

 

Work will be performed initially in our Waddy, KY office. Training will occur in our Waddy, KY office. Office will relocate to Lexington, KY in May.

 

JOB DESCRIPTION

Job Purpose

 

Leads Equity Advisors of Kentucky’s back office functions. Maintains a cheerful and welcoming office environment. Ensures accuracy and organization of financial data.

 

Roles

 

  • Accounts Payable Management – Enters invoices accurately against Chart of Accounts. Manages payments to vendors on timely basis as approved by Company Officers.

 

  • Accounts Receivable Management – Prepares and transmits invoices to clients on a timely and accurate basis. Records receipts and makes deposits. 

 

  • Payroll – Reviews timesheet entries and prepares payroll. Payroll will be processed by 3rd party payroll processors. Review processor reports for accuracy. Input into internal accounting systems.   

 

  • Journal entries – Maintains accurate Chart of Accounts and Journal Entries.   

 

  • Prepares Reports – Prepares financial reports for Board and miscellaneous needs. Ensures that entries are accurate and timely to facilitate good decision-making.

 

  • Application Development – Completes draft applications for renewals such as liability insurance and health insurance.

 

  • Certificates of Insurance and Contracts – Maintains accurate COI logs and requests COI’s for new projects. Receives and files client agreements for EAK clients. 

 

  • Planner Support – Assist financial planners with forms and investment execution. Look for methods to improve accuracy and client experience through the paperwork process.

 

  • Client Support – Assist planners with scheduling appointments. Assist clients with their online QuickBooks (when applicable). 

 

  • Related Duties – Assists with related duties such as end of year tax preparation, QuickBooks management, ProAdvisor management, and other requirements as assigned.   

 

 

Skills, Capabilities and Knowledge

 

  • Industry Knowledge – Must possess understanding of accounting and bookkeeping. Preference for an understanding of financial services and client facing services related businesses.

 

  • QuickBooks, CRM SmartOffice, Ring Central, and ProAdvisor Experience – Preference for familiarity with the programs. Must have ability to quickly learn these programs within days of onboarding if not already familiar.   

 

  • Attention to Detail – Must have good attention to detail to support accurate books, reports, and reconciliation.

 

  • Communication Skills – Must have good people skills and the ability to engage with Clients, planners, and the community in a courteous, helpful, and patient manner.

 

  • Accountability – Must be reliable, prompt, and able to complete tasks on time and even anticipate the work needs. 

 

  • Organized – Must be meticulous, organized, and detail-oriented.

 

  • Deadline Oriented – Must be able to prepare and complete in a timely manner various paperwork associated with projects.

 

  • Computer Skills – Must have basic computer skills including editing, formatting, and using templates in Microsoft Word and Microsoft Excel; and be able to use the Internet for QuickBooks and investment management functions.
