Frost Brown Todd LLP is currently seeking an Office Assistant/Receptionist to join our Lexington office.

Job responsibilities include:

  • Answering the phone and greeting clients, vendors and other FBT personnel in a courteous and professional manner.
  • Maintaining cleanliness of conference rooms, reception desk and surrounding areas.
  • Coordinating conference rooms using scheduling software.
  • Providing beverage services, placing food orders and coordinating catering payment, and setting up lunches for clients and conference center.
  • Coordinating office maintenance requests, and recording and maintaining all parking validations.
  • Tracking office/kitchen supplies and validating when deliveries are completed.
  • Providing general secretarial assistance as needed, such as copying, scanning, assembling files, making travel arrangements, submitting expense reimbursements, typing, and other routine tasks.
  • Assisting Office Manager with operational check requests and other accounting support.
  • Assisting with special projects as needed.

Job Requirements

  • Some college preferred.
  • Previous law firm experience preferred.
  • Computer proficiency, preferably with Microsoft Office (Word, Excel, and Outlook).
  • Ability to operate standard office equipment (copiers, printers, scanners, etc.).
  • Ability to organize and prioritize numerous tasks and complete them under time constraints.
  • Ability to shift attention from one area of work to another quickly without frustration.
  • Ability to handle confidential information.
  • Interpersonal skills necessary to communicate effectively with a diverse group of attorneys, managers, business professionals, and vendors.
  • Ability to answer phone and greet clients courteously and professionally, and to transfer calls quickly.
