Compliance Program Specialist


Overview: The Compliance Program Specialist will be responsible for overseeing the apprenticeship program and certified payroll processes. This role involves ensuring compliance with regulatory standards and organizational policies. You will maintain accurate records, conduct audits, and provide guidance to stakeholders to ensure adherence to apprenticeship regulations. This position requires a meticulous approach to compliance management, with a focus on both apprenticeship and payroll functions.


Responsibilities:


Regulatory Monitoring and Interpretation:

  • Monitor and interpret relevant apprenticeship regulations to ensure that all programs comply with statutory requirements.
  • Stay updated on changes in IRA apprenticeship laws and regulations and integrate these changes into the program as needed.


Compliance Procedures and Policies:

  • Develop and implement compliance procedures and policies to mitigate risks and maintain high standards within the apprenticeship program.
  • Identify areas for improvement and implement corrective actions to address compliance gaps.



Record Maintenance:

  • Maintain comprehensive and accurate records of apprenticeship agreements, progress reports, and all compliance documentation.
  • Ensure records are up-to-date and readily accessible for audits and inspections.



Reporting:

  • Prepare and submit detailed reports on program compliance to regulatory bodies, Interplay, and clients.
  • Ensure that certified payroll reports are accurately prepared and disseminated to clients and Interplay in a timely manner.



Audits and Assessments:

  • Conduct regular audits of the apprenticeship programs to assess compliance with regulatory standards and internal policies.
  • Implement corrective actions based on audit findings to ensure continuous improvement.



Stakeholder Communication:

  • Serve as the primary point of contact for apprentices, Interplay, BD Reps, and EVP regarding compliance issues, program requirements, and needs.
  • Provide guidance and support to stakeholders to ensure they are informed and compliant with program requirements.



Training and Implementation:

  • Assist in the implementation and follow-up of apprenticeship training plans and assessments to ensure effective program delivery and compliance.
  • Collaborate with training teams to align program objectives with regulatory requirements.



Certified Payroll Management:

  • Prepare and submit certified payroll reports to clients and Interplay.
  • Ensure all payroll practices comply with applicable regulations and organizational policies.



Qualifications:

  • Proven experience in compliance administration, preferably in apprenticeship programs or similar compliance-related environments.
  • Experience with certified payroll processes and reporting is highly desirable.
  • Strong understanding of apprenticeship regulations and compliance requirements, or a willingness to acquire this knowledge.
  • Highly detail-oriented with the ability to maintain accurate records and ensure thorough compliance.
  • Excellent organizational skills with the capacity to manage multiple tasks and priorities effectively.
  • Strong communication and interpersonal skills, capable of interacting with diverse stakeholders and providing clear guidance.
  • Ability to work independently as well as collaboratively in a team-oriented environment.
  • Willingness to take on more responsibility as role evolves.
