Woodside Homes is seeking a detail-oriented and organized Office Coordinator to manage the daily operations of our office. The ideal candidate will be responsible for ensuring smooth running of the office, coordinating various office tasks and functions, and supporting our team to achieve their goals efficiently.


Responsibilities:

Office Management:

  • Maintain office efficiency by planning and implementing office systems, layouts, and equipment procurement.
  • Organize office operations and procedures, including managing correspondence, filing systems, and supply requisitions.


Administrative Support:

  • Provide administrative support to ensure efficient operation of the office.
  • Assist in scheduling appointments and meetings, managing calendars, and handling travel arrangements.
  • Prepare and distribute memos, emails, and reports as needed.


Coordination:

  • Act as the point of contact between the executives, employees, clients, and other external partners.
  • Coordinate office activities and operations to secure efficiency and compliance with company policies.


Facilities Management:

  • Oversee and ensure maintenance of office facilities and equipment.
  • Manage relationships with vendors, service providers, and landlord, ensuring all items are invoiced and paid on time.


Requirements:

  • Proven experience as an Office Coordinator or in a similar role.
  • Excellent organizational and time management skills.
  • Proficiency in MS Office and office management software.
  • Strong communication and interpersonal skills.
  • Attention to detail and problem-solving skills.
  • High school diploma or equivalent; additional qualification as an Administrative assistant or Secretary will be a plus.


Education and Experience

  • Minimum high school diploma or equivalent required.
  • Proficient with Microsoft office software products.
  • Organized, detailed and self-motivated.
  • Highly focused on providing a quality customer experience, effective and respectful assertive communicator with vendors and colleagues.
