Office Manager

The Office Manager serves as the on-site ambassador to our client experience. This position is critical to our overall client service in ensuring the smooth operation and efficiency of the company’s front office and administrative functions. The role supports the daily operations of the office, including, but not limited to: answering phones, meeting/greeting clients, handling/distributing postal mail, printing and organizing paperwork, maintaining client documents, fostering a welcoming space for clients, and coordinating with multiple departments to ensure client requests and other administrative tasks are completed as assigned. Professional appearance and communication skills are important for this role.

- Able to handle multiple tasks and maintain a high quality of work while experiencing frequent interruptions
Responsibilities:
- Greet, engage, and connect with all prospects and clients
- Maintain office presentation and functionality for prospects and clients
- Answer and direct daily telephone calls
- Process incoming and outgoing mail
- Print, organize, and process client paperwork
- Offer support to other Office Managers and Advisors
- Complete daily client related tasks in Salesforce (CRM)
- Complete daily confirmation calls and client meeting agenda emails
- Collaborate and partner with cross-functional departments to improve processes and systems that lead towards successful solutions
Requirements:
- In-Office, Monday - Friday, 9am-5pm
- Friendly, professional, and welcoming demeanor
- Excellent written and verbal communication skills
- Excellent attention to detail, problem-solving skills, and time management skills
- Strong ability to work independently and as part of a team
