Express Employment is partnering with a local company to find their next receptionist. The Receptionist is a pivotal figure in cultivating a professional and hospitable environment for guests, visitors, and employees, establishing a positive initial impression for everyone entering the premises. Alongside the primary responsibility, the Receptionist also provides essential office support and manages mailroom operations.

 

RESPONSIBILITIES

• Greet and welcome guests, visitors, and employees in a friendly and professional manner and direct all guests and visitors to appropriate locations and parties.

• Manage Visitor and Employee badges and maintain an accurate visitor log book to track badges, arrivals, and departures.

• Ensure compliance with visitor protocol and other relevant requirements.

• Answer and direct incoming calls promptly and efficiently.

• Manage emails and forward faxes to appropriate employees.

• Uphold confidentiality and discretion when handling sensitive information.

• Operate check signer machine to affix signatures onto approved accounts payable checks.

• Maintain cleanliness and organization of the reception area and lobby conference rooms.

• Coordinate and order department lunches upon request.

• Manage incoming and outgoing mail, including sorting, distributing, and processing.

• Post outgoing mail, handling various types such as Domestic & International, Express, Priority, Registered, and Certified mail.

• Stay informed about postage rates for international shipments by referring to the International Mail (IM) book and remain updated on rate changes.

• Sort all incoming mail to ensure prompt distribution throughout the building to respective recipients.

• Process invoices for services such as PO Box and Express Messenger.

• Coordinate with the Accounts Payable (A/P) department to request checks for payment.

• Assist with processing Product Registration Cards via mail and intranet, ensuring accurate data entry and timely processing.

• Contribute to the customer creation process in the ERP system (SAP) by accurately inputting relevant data.

• Adhere to all safety guidelines and protocols, promptly reporting unsafe conditions to the supervisor for appropriate action.

• Complete additional assignments and participate in special projects as requested by management.

REQUIRED QUALIFICATIONS

• High School Diploma or GED is required.

• Proven experience in a receptionist or administrative role, preferably in a corporate environment.

• Excellent interpersonal and communication skills, both written and verbal.

• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic computer skills.

• Strong organizational skills with the ability to prioritize tasks effectively.

• Attention to detail and accuracy in completing tasks.

• Ability to multitask and work efficiently in a fast-paced environment.

• Professional demeanor and appearance.

• Familiarity with ERP systems, particularly SAP, is a plus.

• Willingness to learn and adapt to new responsibilities as needed

 

POSITION TYPE & EXPECTED HOURS OF WORK

This is a full-time position, and hours of work and days are Monday through Friday, 8:00 a.m. to 5 p.m.
