Ancillary Services Coordinator

Summary
We are seeking an Ancillary Services Coordinator to join our Asset Management team and directly report to our Director of Property Management. This position will coordinate all programs and analytics necessary to ensure ancillary products are maximized. The Ancillary Services Coordinator will act as a liaison with utility companies and on-site teams to review utilities effectiveness and coordinate with various departments to rectify billing or physical device issues.
Responsibilities
- Oversee portfolio-wide functions of property utilities, including but not limited to: Electric, Water/Sewer, Trash/Pest, and Solar. Serves as liaison for all utility management contractors and on-site teams across company portfolio.
- Establish and maintain relationships with suppliers to ensure the availability of necessary resources and services. Manage vendor performance to meet service level agreements and quality standards.
- Responsible for contacting all utility companies serving newly acquired communities and requesting service be transferred to new owner.
- Participates in the monthly Conservice reviews to ensure that utility billing accounts for residents and common areas are set up, maintained, and billed accurately. Continuously review and approve prebill.
- Manage and communicate with Conservice to facilitate the installation of water submeters if a system is included in the capital plan.
- Identify and supports implementation of strategies, programs, and initiatives that drive operational excellence by minimizing common area and vacant utility costs.
- Track and report on the impact of solar related systems and programs.
- Perform other duties as assigned.
Requirements:
- Bachelor’s degree required.
- Utility billing management experience within multi-family industry preferred.
- Computer proficiency with Microsoft Excel, Outlook, and Word applications, and ability to learn new technology platforms utilized by the company.
- Must be able to multi-task and handle tasks quickly and tactfully.
- Strong communication skills, both written and verbal.
- Ability to work independently and as part of a team.
