Position Overview:

Our top real estate client seeking a Temporary Development Coordinator to support our Development team in a variety of tasks. This role is crucial in ensuring the smooth operation of our development projects and involves a wide range of administrative and project coordination responsibilities.

Key Responsibilities:

  • Development Team Administration:
    • Oversee various development administration-related tasks and issues.
    • Set up vendors and manage vendor relationships.
    • Process check requests and rush checks, as needed.
    • Research and enter annual G&A budget data.
    • Plan and coordinate development retreats.
    • Take and prepare meeting minutes for weekly and quarterly development meetings ensuring accurate and timely distribution of meeting notes and follow-ups.
  • Project Documentation & Coordination:
    • Work with development project team to store and maintain deal information and documentation.
    • Act as liaison to Development Accounting.
    • Monitor Payscan, approve invoices, and ensure proper workflow.
    • Update project bond tracking spreadsheet/refundable deposits and coordinate bond releases
    • Prepare and update development timelines using Microsoft Project.
    • Track, circulate and distribute development project CO's/PCO's/COR's
    • Assist with punch walks for new development projects.
    • Schedule local comps by researching the rental market to track rents, comp finishes, and amenities within pricing as requested
    • Assist with consultant and general contractor contract negotiation process. Track the progress and ownership of each negotiation task for the contracts.
    • Manage the input of executed contracts into Yardi and distribute to vendor
    • Assist and organize neighborhood meetings with adjoining sites to educate the public on our developments plans when required.
  • City Plan Submittals and Document Management:
    • Assist development managers with city plan submittals.
    • Order project plans from Barker Blue, as needed.
    • Maintain original closing documents, contracts/agreements, and organize digital files on SharePoint.
  • Reporting and Tracking:
    • Structured Finance reporting- coordinate monthly inspection info from Dev Team and Sponsors and update report
    • Monitor and/or prepare submissions for various construction awards.
    • Assist in updating the Development Track Record.
    • Maintain and update the Development Department Policy & Procedure manual and Development Project Assignment List.
    • Update project invoice trackers
    • Liaison between Development and the Insurance Team to coordinate Development and Preferred Equity project insurance needs and track all expirations.
    • Review all reports from the consultants to the general contractor and ensure that Essex is receiving current reports.
  • General Support:
    • Be familiar with the construction schedules and budgets for all development projects.
    • Answer general questions and provide information regarding development projects as requested.
    • Perform other projects as requested by development team members.

Qualifications:

  • Bachelor's degree in Real Estate, Urban Planning, Business Administration, or a related field preferred.
  • 2+ years of experience in real estate development, project management, or a related role.
  • Strong organizational and multitasking skills with a keen attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management software.
  • Ability to work independently and as part of a team, with a proactive and flexible approach to tasks.
  • Knowledge of real estate development processes, zoning regulations, and construction practices is a plus.
