The Procurement Specialist is responsible for sourcing raw materials and finished goods to meet customer demands and manufacturing requirements. Key responsibilities include managing vendor relationships, optimizing inventory levels, ensuring timely deliveries, and negotiating the best possible prices. This role involves close collaboration with plant management, sales teams, and operational staff to ensure a seamless supply chain.

Essential Duties and Responsibilities

  • Maintain strict confidentiality and uphold ethical standards.
  • Enter and process purchase orders accurately and efficiently.
  • Manage inventory levels to ensure optimal stock while minimizing excess.
  • Utilize computer programs such as Sage, Microsoft Dynamics Excel, Word, and other Microsoft Office tools proficiently.
  • Negotiate pricing and delivery schedules to secure optimal terms.
  • Foster effective communication and collaboration with accounting, customer service, sales, and manufacturing teams.
  • Develop a strong understanding of company products and their mechanical applications.
  • Communicate clearly and professionally with internal and external stakeholders.
  • Exhibit trustworthiness, a strong work ethic, and a positive attitude.
  • Manage and prioritize work independently while being an active team member.
  • Participate in ongoing job-related training.
  • Take on additional responsibilities and tasks as needed.
  • Maintain consistent attendance and be available during regular business hours, with flexibility for extra hours when necessary.
  • Monitor supplier performance and address issues proactively.
  • Evaluate and approve purchase requisitions and purchase orders.
  • Conduct market research to identify new suppliers and product opportunities.
  • Ensure compliance with company policies, procurement regulations, and industry best practices.
  • Maintain accurate procurement records, contracts, and vendor files.
  • Develop and implement cost-saving strategies and supplier improvement plans.
  • Participate in annual supplier evaluations and audits.
  • Assist in developing procurement policies and procedures.

Work Environment

The work environment includes occasional exposure to moving mechanical parts, elevated work areas, and varying weather conditions. Noise levels are typically moderate.

Physical Demands

The role requires regular sitting, typing, using hands, reaching, talking, and hearing. Occasional standing, walking, kneeling, crouching, and lifting up to 25 pounds are required. Visual and auditory acuity for tasks such as reading and phone conversations is essential.

Education and Experience

  • High school diploma or equivalent required.
  • Experience with Microsoft Office, including Excel, Word, and other related tools.
  • Preferred qualification includes previous work experience with Sage and/or Microsoft Dynamics.
  • Minimum of five years of relevant experience or a combination of education and experience.

Training, Certifications, and Licenses

  • High school diploma or equivalent.
  • Valid state driver’s license.
  • Background, DMV, and credit checks may be conducted as conditions of employment.
