POSITION SUMMARY

The Event Coordinator provides end-to-end support in managing a high volume of events and workshops throughout the year. This individual takes full ownership of the administrative processes, ensuring seamless operations and remarkable experiences. Their exceptional organizational skills and meticulous attention to detail contribute to enhancing efficiency whenever necessary. Additionally, they provide administrative assistance during weeks with no scheduled events. The ideal candidate for this role possesses a genuine passion for events and a strong drive to continuously improve processes.

OBJECTIVES

  • Ensure accurate and timely updates for upcoming workshops on the events landing page.
  • Assist team members with travel-related inquiries, including lodging and flights for events, primarily via email.
  • Collaborate closely with the marketing team to ensure that print marketing materials are accurate, up-to-date, and available as needed for events.
  • Lead event setup, including the strategic placement of step-and-repeat backdrops, popup banners, and other branded materials throughout the venue; oversee arrangements for meals and happy hours.
  • Assist with booth presence at annual events, including event setup, breakdown, and attendee management.
  • Organize and coordinate monthly mixers and holiday events for 10X Health.
  • Assist in preparing team packets and itineraries for events, assigning team responsibilities and detailing food and beverage options, location, and timing in the tracker.
  • Confirm staff travel receipts for expense reporting through Certify.
  • Provide support for team duties as needed.
  • Assist the CEO and President with personal tasks as requested.
  • Arrange food and beverages for executives as needed.
  • When not actively engaged in event-related activities, approximately 70% of your responsibilities will focus on supporting marketing functions, including coordinating promotional materials, managing communications, and handling administrative tasks.


COMPETENCIES

  • Ability to navigate a high-volume email inbox regarding logistics
  • Ability to take detailed notes and determine action items to follow up on
  • Strong administrative skills to provide support in several aspects of the Event team
  • Can successfully manage Event collateral and keep track of all equipment needed for setup
  • Ability to navigate complex spreadsheets with client information and other key data points
  • Possess strong follow up skills to ensure action items from Event meetings are completed
  • Substantial experience with Microsoft Suite


EDUCATION AND EXPERIENCE

  • At least 2 years’ Event Management experience
  • Degree in Hospitality Management, Public Relations or relevant field is preferred


PHYSICAL REQUIREMENTS

  • Prolonged periods sitting at a desk and working on a computer
  • Weekend availability - up to 25%
