Executive Administrative Assistant

Seeking a highly skilled and experienced Executive Administrative Assistant to provide comprehensive support to the CFO - President, Property Management, Controller, and VP, Property Management. The successful candidate will play a critical role in facilitating the efficient operation of the executive office and property management department by managing administrative tasks, coordinating schedules, and ensuring seamless communication among key stakeholders.
Responsibilities:
- Coordinate and manage complex calendars for the CFO - President, Controller, and VP, Property Management.
- Serve as the primary point of contact for internal and external stakeholders, including investors, tenants, vendors, and team members. Screen calls, emails, and correspondence, responding promptly and professionally or directing inquiries to the appropriate person.
- Prepare agendas, presentations, and materials for executive meetings, board meetings, and property management meetings. Attend meetings, take accurate minutes, and distribute action items to relevant parties in a timely manner.
- Prepare, edit, and format various documents, reports, and presentations for the executive office and property management department.
- Arrange domestic and international travel accommodations for executives and property management team members.
- Process expense reports and reimbursement requests for executives and property management team members.
- Assist with special projects and initiatives led by the executive office or property management department.
- Provide general administrative assistance to executives and property management team members, including handling phone calls, managing mail, ordering office supplies, and coordinating office equipment maintenance.
Requirements:
- Bachelor's degree in business administration, finance, or related field preferred.
- Proven experience as an executive assistant or administrative assistant supporting senior executives in a corporate environment, preferably in real estate or property management.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Exceptional organizational and time management skills with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Strong communication skills, both written and verbal, with a professional and diplomatic demeanor.
- Discretion and confidentiality when handling sensitive information and confidential matters.
