We are seeking a detail-oriented and organized Production Administrator to join our team. The ideal candidate will have experience with QuickBooks and possess bookkeeper-level Excel skills.

The ideal candidate will possess a can-do attitude, strong communication skills, have a strong proficiency in Microsoft Office products (especially Excel), and demonstrate a high level of accuracy, timeliness, and attention to detail.

As a Production Administrator, you will be responsible for ensuring the smooth flow of production processes, accurate record-keeping, and efficient communication between various departments. Your role will encompass the following key responsibilities:

Key Responsibilities:

Production Reporting and Documentation:

  • Send daily production reports, ensuring accuracy in entries.
  • Prepare End-of-Day (EOD) documentation, including inbound and outbound checklists.

Work Order Management:

  • Enter customer information, sales orders, work orders, and relevant production metrics.
  • Collaborate with the sales team and Master Scheduler to create accurate scheduled work orders.
  • Schedule and set up work orders, managing spreadsheets and pallet ID labels.
  • Coordinate data transfer and labeling throughout the work order process.
  • Manage orders, communicate with customers, and oversee the build process.
  • Facilitate toll converting processes, verify inbound supply, and update inventory reports.

Completed Work Order and Inventory Management:

  • Review and approve completed work orders, addressing discrepancies.
  • Maintain a priority list for picking, packing, and shipping materials.
  • Maintain the Inventory Row Sheets so we accurately receive, store, and ship.

Logistics and Scheduling:

  • Schedule and verify Inbound/Outbound freight activities.
  • Update the schedule board daily, incorporating live spreadsheet data.

Qualifications:

  • Strong proficiency in Microsoft Office products, particularly in Excel.
  • Proficiency in QuickBooks.
  • Strong organizational skills with attention to detail.
  • Effective communication and collaboration abilities.
  • Previous experience in production administration or related roles is preferred.
  • Ability to work independently and as part of a team.
  • A can-do attitude and a strong desire to learn and grow in a rapidly expanding company.
